For me, balancing coaching sessions and administrative tasks meant identifying my zone of genius and eliminating distractions that pulled me away from fully showing up for my clients. I focused on tasks only I could do and delegated the rest, starting with hiring an assistant and eventually building a trusted team. This allowed me to prioritize high-impact activities, aligning with the 80/20 rule—20% of my efforts driving 80% of results. Delegating administrative work freed me to lead with energy, creativity, and presence, empowering my business to grow while staying in alignment with my purpose.

As a Human Flourishing Mentor, here’s how I effectively balance coaching sessions and administrative tasks, by three steps: 1. Prioritize and Time-Block: Dedicate specific blocks of time for coaching and admin work. Treat both as non-negotiable appointments to ensure focus and balance. 2. Streamline and Automate: Use tools or systems to automate repetitive tasks (e.g., scheduling, invoicing) and create templates for common administrative duties. 3. Reflect and Adjust Regularly: Periodically review your schedule to ensure alignment with your energy levels and workload, making adjustments to stay efficient and maintain harmony.

1. Set Clear Priorities - Determine your most important tasks each week. - Use a prioritization matrix (urgent vs. important) to focus on what matters most. 2. Create a Schedule - Block time for coaching sessions and administrative work in your calendar. - Stick to this schedule to maintain a routine. 3. Time Management Techniques - Use techniques like Pomodoro (25 minutes of focused work followed by a 5-minute break) to enhance productivity. - Set specific time limits for administrative tasks to prevent them from dragging on. 4. Leverage Technology - Utilize scheduling tools (e.g., Calendly) to manage appointments efficiently. - Use project management apps (e.g., Trello, Asana)

As with any business, there's the decisions, the execution and delivery, the follow up and the admin part. 1. To make things easier, I save one hour at the end of the day to organize what I did in the day, including the follow up etc 2. I block 1 hour at the end of every week to do the same 3. I block 1 hour at the end of the month. That way, I don't need to pull my hair out for hours at the end of the quarter, searching for numbers and lists etc. Doing things gradually but in an organized manner, with defined time blocks every day, week and month saves me hours and frustration. Hope this helps.

If you are good at coaching and not very effective as an administrator, outsource most of the admin tasks to a virtual assistant as soon as you can afford one.

A trick i came up with is to create an email specifically for tracking expenses, Income and anything i need for the "business" and sending everything there so when I carve out time for the administrator work everything i need is easy to find.
