In our annual State of Meetings Report—out today—we asked 1.2k business professionals this very question and more to understand what they love about meetings, dislike, and how they believe meetings can be improved. What we found might surprise you. 👀 81% of respondents said more meetings would actually help them in some way. You read that right. But, here’s the catch: That’s only if they’re productive meetings. Here's what else we found: - The time we spend just scheduling meetings has increased this year compared to 2023—no wonder we found there’s a growing appetite for AI in smart scheduling assistance. 🤖 - Most of us are multitasking during virtual meetings—a sign that we need to make that time more engaging and purposeful. ⚡ - Different age groups experience meetings differently—from establishing boundaries (which we found Gen Z does a great job of!) to keeping agendas on track. 📅 The bottom line—meetings themselves are not the problem. Booked a sales call, but the prospect didn’t show? (Here’s how we get a 97% show-up rate using Calendly👇) No-shows waste time for everyone – you, your team, and the prospect. We got tired of it and implemented this automated flow: 1. When the call is booked - Minimise friction: Only ask for their name, business email, and phone number. - Enrich the data: Use Clay to pull full company and prospect details. - Get notified: Push the enriched data to Slack alongside the call booking. 2. Reroute to a 'Thanks for Booking' page - Thank them for booking. - Record a quick VSL explaining your offer and setting expectations for the call. - Details here matter. A strong pre-call VSL can massively improve call outcomes. 3. Send confirmation via SMS & email - Reinforce the meeting time. - Include the pre-call VSL for prospects manually booked into your calendar. 4. Follow up with a value email - Send case studies, white papers, VSLs, or other educational materials. - Build anticipation and excitement before the call. 5. Remind them 12 hours & 15 minutes before the call - Don’t let them “forget.” - This also gives them a chance to reschedule if something comes up. 6. One simple change that got 67% of qualified leads to book immediately: > Embedding Calendly right into a typeform Here’s how it works👇 1. Ask only the questions we need for lead routing and context Old: Ask for state if someone was in the US. New: Only ask for country which removes a field. And make sure every question is needed rather than creating extra work for the prospect. 2. Route prospects to different ‘thank you’ pages Old: Send everybody to the same thank you page and route leads on the backend. New: Route leads in real time so companies in our ICP can book immediately with the SDR who owns their territory. Other prospects go to a thank you page and then get email followup. 3. Use the Calendly scheduling question Old: Send the Calendly link in an email. New: Embed SDR calendars to allow qualified prospects to book without leaving the form. 4. Use the Calendly<>Salesforce integration to send meeting data Old: Only see meetings in Salesforce but no reporting on outcomes. New: Pull the data directly from Calendly to report in Salesforce on meetings booked, canceled and rescheduled. Share Salesforce records across teams for tighter alignment. (BONUS) 5. Add a Partial Submit Point right before the Calendly embed Old: Prospects had to submit the whole form for us to collect their data. New: Partial Submit Point in Typeform captures all data in the step before we show the Calendly embed in case a prospect doesn’t book a time. Then our team can still reach out to book the call. The result? 67% qualified leads booked while filling out the form while total lead volume has stayed consistent.

They help ensure you have time to actually get the most meaningful work done. You already know: the end of the year is busy. So here’s how to protect your time (and your team’s) this year, and into 2025: - Block focus or deep work time on your calendar, and encourage others to do the same. - For remote teams in different time zones, establish “core meeting hours” to respect everyone’s schedule. - Add buffer time before and after meetings to prep, recharge, or grab a coffee.
