The best practice is to establish a solid maintenance program that is consistent with production requirements. Capital improvements should be considered for future continuity of production. Establish an annual maintenance budget and have strict accountability of purchases between preventive and corrective maintenance. This will provide a baseline to project future maintenance cost.

One thing I found helpful is to prioritize the repairs needed. Usually there will multiple repairs happing and to list what needs to get done first, second and third is very helpful. Along with who will be doing the repairs and when can they be completed. You then insert how long before spare parts arrive and soon you have a list that has an order to it. I always tried to have a company who can do many repairs, on many different parts of my facility. This allows you to shift gears midstream if necessary. Once your list is complete it can be shared throughout the company and updated as needed.
