It happens to me couple of times, I followed the below to prevent this from occurring again 1. Use updated spare part catalog 2. Order the parts only by their unique product code not by there name. 3. Reach out to the supplier if you don't have clarity on certain codes

Firstly I’ll find the reason why this came wrong. If was a wrong request made by my team or from the manufacturer behalf. Identifying this already can sort all the questions and avoid future mistakes. To avoid this to happen again, I would give as much information as I can on the next request, such as, Part Number, description, function of the part and a photo if available. Sometimes a image can talk more than thousands of words.

Document Details for Future Orders: Record part codes, prices, and supplier information to streamline future purchases.

This can happen to anyone ,To avoid receiving the wrong parts again, consider taking these steps: 1. Double-check the Part Numbers to Confirm with the supplier that these match what they are shipping. 2. Provide Detailed Descriptions. 3. Request a Sample or Photo:This can help verify that the items match your requirements. 5. Label with Serial Numbers: If applicable, ensure each part has a unique identifier. 6. Inspect Upon arrival to confirm accuracy 7. Communicate Feedback. Taking these precautions will reduce the risk of errors in future orders.

Contact Supplier Immediately: Reach out to the supplier as soon as possible to report the issue. Provide them with details such as order number, parts received, and parts expected. Provide Evidence: Take clear photos of the incorrect parts alongside your original order documentation. This can help the supplier understand the mistake and expedite the resolution. Clarify Specifications: Review and confirm the specifications, part numbers, and descriptions of the correct parts needed. Ensure that all details are correct to avoid future errors. Request a Return Process: Inquire about the procedure for returning the incorrect parts. Ensure you understand the timeline and any shipping arrangements needed for the return.

Before i do any work, i will confirm the part number same as the catalogue. Normally i have been collect the parts one day before and check the same as i rewuired. Never i will not go to site for repair with out check the parts.

Sometimes this happens. What really has to be resolved is when it becomes repetitive. So first occurrence just flag it second occurrence notification through your manager and the delivery chain. However there should be a system already in place to ensure best practices. If a company hasn’t got a system in place then it will find itself in chaos.

If possible pick part up yourself, or have it delivered to your house or hotel room, check if another location has one, I once drove fifty miles to pull a motor off a unit to get my customer up and running.
