💳If you use a card machine in your business to take payments from customers, or a payment collection provider such as Stripe or Go Cardless are you making sure you are correctly recording the sales transactions in full? 😟A common mistake that I have noticed many times is where only the amount received in the bank account is being recorded as a sale. However it’s really important that you record the full gross sale amount and then any fees deducted by the payment facility separately as an expense. 🤔You might be thinking it doesn’t make a difference as the amounts net off against what has been received, but apart from it simply being incorrect in your accounts, there are consequences that you might not have considered. ❌You would be understating your sales turnover, which is important for a variety of reasons, not least because you might be unknowingly exceeding the VAT registration threshold or possibly breaching the threshold to remain in certain VAT schemes, eg. cash accounting. ❌If you are VAT registered, you could be under accounting for your sales VAT if you are only recording the amount hitting your bank account and your VAT liability could be wrong, especially if the fees charged by the service provider are reverse charge or exempt. ❌And if you are sending out sales invoices with a Stripe or Go Cardless payment collection, you may also be only recording the amount actually received in your bank against the invoice, leaving loads of small underpayments on each customer invoice, when these have actually been paid in full. 💡Bookkeeping isn’t as easy as it’s made out to be by some of the software providers!
