WE'RE HIRING!!! The primary role for the Project Administrator is to provide administrative support as well as general project management support to the Project Manager assigned to a specific project(s). Ability to maintain organization, juggle priorities and pay attention to details is critical. The Project Administrator will assist with the planning, organization, and management of the day-to-day operations of the project under construction. Key Requirements for success in this position include: • Basic use of Microsoft Products (Outlook, Excel, Word, etc) • Interpersonal skills for communication with the various team members including: the Project Manager and other internal team members. Written and verbal communication is critical. • Knowledge of ProCore is preferred (but not required). ALL employees with access to Procore will be required to pass an online training and certification for each of the modules as a new hire. Online ProCore training modules to familiarize yourself with ProCore’s basic tools. • Detailed note-taking and documentation of critical information. • Organizational skills Daily Task items a Project Administrator could be responsible for include: • The creation and management of Commitments / Purchase Orders / Subcontracts • Tracking and issuing Potential/Actual Change Orders • Participating in project meetings as requested, and recording Meeting Minutes for weekly on-site meetings with Subcontractors and other stakeholders • Assisting with AIA G702/G703 Payment Application (Billing) generation and submission • Assisting with RFI’s (Request For Information) and all other correspondences that come in from other stakeholders • Creating/managing Submittals and Transmittals • Assistance with Obtaining the appropriate Building Permits, Certificate of Occupancy, and/or other town/city documentation. • Assist estimator with bids incoming from Subcontractors, and bidding outreach. • Assembling “Closeout Documentation” to include Operating & Maintenance Manuals, Subcontractor Warranty Information, etc. upon completion of each project. • Assembling of marketing materials for potential project proposals • Coordination and collaboration with other project admins and team members when required Hours (Full Time): • 8am-5pm (M-F) • In-office position Benefits: • Health Options Available • 401k • Paid holidays • Great Snacks Interested??
