    Simplifying your HubSpot Workflows

    Your short workflows are killing your CRM. And the worst part? You never had a chance to stop it. So lets set the scene: 1. You're not technical, you're a marketer/sales/customer success etc. 2. You have HubSpot. 3. You've been playing with HubSpot workflows - because you're cool like that. You started off automating workflows to accomplish something - i.e. "When the deal pipeline goes to 'Presentation Scheduled', set me a task". And it worked - so you automated more things, and more things, and more things. Workflows everything to accomplish specific goals. And then something went wrong. Well done - you've reached the end of level 1. The problem with this "Goal centred" approach it that when things go wrong, you don't know where to look. You have dozens of active workflows, many operating off the same triggers - you can't get a full view of whats happening since everything is scattered and disjoint. But you're now quite comfortable with workflows - you can know do things the better way. Stop thinking about "Goals" start thinking about systems. Switch out that "Goal centred" mentality for a "cause and effect" one. Switch out many short workflows for some monster ones. Monster workflows that aim to cram everything into a single workflow. Why? Because when things go wrong with your Deals, you'll know where to look (hint. It's in your single Deal workflow). When things go wrong, you can take full advantage of the HubSpot action history to track down exactly what happened. And finally, you can get a proper look at your work - everything your system does and doesn't do is on full display. And finally, you don't have to be messy. Use action sets for reusable functionality. Use workflows that have no triggers to divide things up. Tl;dr? Monster workflows > many short ones. Be sparing with triggers. All to leverage the HubSpot tools better.

    Anything CAN be automated. The real question is what SHOULD be automated. Instead of going automation-crazy, there’s often space to take a step back and see if you have messy/unnecessary automations that are wasting more time than they save. Case in point: Our client in the healthcare staffing industry had set up their own Pipedrive and things were a mess. Their automated workflow fed the team tasks that were unnecessary, duplicate, or long complete. Every day was a new avalanche of 100s of “urgent” overdue tasks. Stressful, right? Our goal when working with them wasn’t to add anything new, but rather to reorganize the way they used their CRM. We dove deep into their procedures, and then… ➡️ streamlined their task list ➡️ created new KPIs …and the craziest one: ➡️ switched daily to-do lists back to manual.
