It's normal routine to have normal flow of tasks regularly. But when you have to deal with important tasks, make prioritization and unload some regular tasks for the meantime. You can either delegate them momentarily. So you can have your undivided attention and focus for the current important tasks. Offer some adjustments like posting when can you be available to handle other concerns that equally need your time and effort. Other than that, stick to your schedule. Make it a point to other department and personnel. In this way, people will start to respect your time and boundary when important tasks are at hand.

Communication is key here. Not only do you need to set boundaries, but you need to effectively communicate them. That's why it's so helpful to block off a specific time every day for focus work. It's harder if you keep moving that time all over the calendar. But if you're an early bird/lion and you know you do great focus work in the morning, schedule your focus time in the morning. Let everyone know you're not to be disturbed during that time, and use your Do Not Disturb and notification disablers to make sure you're not interrupted. Close your door if applicable.

(edited)The only thing that you have to do when you have lots of tasks is: to understand your emotions and breathing (aproximately 20 - 30 seconds). I wrote a free pdf about time management and created a small training course on organization. When you are overwhelmed you have no time to ask yourself, you don't have time to make a plan if you haven't learned this beforehand. Breathe, understand the importance of your work and your usefulness, then like a horse, move forward and lock yourself in your bubble for greater efficiency. Then learn how to deal with common situations (through practice).
