Don't take on so many projects. Learn to say no, I cannot look at this for at least four weeks. If they respect you, they'll wait. If they won't wait dump them anyway, Working for people who do not respect what you do, are bad clients.

My suggestion is to use the Teams Planner app, Asana or Trello to organize tasks, track deadlines and issue reports. Regular meetings with the client also bring stability and peace of mind regarding the progress of the project. When the progress is shared, the value increases.

Planification is surely the most important tool we can use. But when roadmaps are crazy, I'm an big fan of the 80/20 technique : produce 80% of the "fully pinished product" in a short time and then check if the remaining 20% of details really are important for the product. In today's industry, it is better to have something done instead of something perfect (but not done). Sometimes this technique can be frustrating, but most of the time it saves hours of perfecting details before realizing we don't need them. Technology is just a tool to follow the best high technology you have : your brain! So, I use simple tooles : my Remarkable to take note and make skecthes, then I transfer it on Solidworks and send IGES/STEP files to subcontractors
