Early and transparent communication is essential when unexpected changes arise. Clients appreciate being informed promptly, as it shows respect for their time and trust. Instead of focusing solely on the problem, providing context and outlining potential solutions demonstrates accountability and a proactive approach. Clear, empathetic communication not only helps to manage expectations but also reinforces the client's confidence in your ability to navigate challenges effectively. This practice strengthens the relationship and paves the way for collaborative problem-solving.

I faced a similar situation where the schedule had to be extended. As part of crisis management, I covered the extra production costs myself. I was transparent with the client and assured them to focus solely on the creativity while I handled the rest.

In the TV and OTT space, sudden schedule changes are common, even with the best-laid plans. In such cases, I ensure the concerned team is satisfied through clear communication and proactive solutions. I immediately inform them, explain the situation, and offer alternatives to minimize disruptions. Reassuring them of our commitment to quality and timelines, while involving them in decisions, helps build trust. Regular follow-ups further ensure confidence and maintain a strong relationship.

Transparency is the best policy in such cases. In most cases the delay is due to an unavoidable reason, and if you communicate it properly, the client understands and things get settled-in.

First of all, inform the client about the change as soon as possible then, be transparent about the reason for the change while emphasizing your commitment to delivering high-quality work. Additionally, give alternative dates or times for the shoot that align with the client’s availability and be accommodating and prioritize their preferences. Finally, share a revised timeline with the client, ensuring clarity on the next steps and also after the shoot, check in to confirm they’re satisfied with the new schedule and the overall process.
