Project delay is a serious concern in any project and thus risk assessment exercise is done, to identify potential risks & then monitored closely. Basis same we take actions ontime for mitigation / elimination of the risk. If there is an unplanned / unexpected risk then that needs to be captured as such. Why above is important, because it shows the maturity of your processes to identify & manage risks timely & effectively. Thus while communicating with stakeholders, it is important to share that delay has happened & what is the nature of issue due to which delay has happened & a clear resolution plan along with horizontal deployment of solution to avoid this in future

Mantenha a transparência e mostre controle da situação para evitar pânico. Super importante avaliar a situação, planejar a comunicação, se claro e específico, apresentar a solução reforçando os benefícios e mostrar os próximos passos. I’ve found it incredibly helpful to communicate delays as early as possible. Waiting until the deadline to disclose setbacks can often lead to unnecessary frustration and erode trust. Additionally, consider focusing on the minimum viable product. If you can deliver a functional version while highlighting opportunities to refine or expand later, it can help alleviate concerns and keep stakeholders engaged with the progress.

According to book, Think Fast, Talk Smarter, three rules of business communication is: 1. Be Transparent but Solution-Focused 2. Acknowledge Stakeholders' Concerns 3. Communicate Early and Regularly So, I would start with: I wanted to let you know we’ve encountered a delay in the Power BI report due to data integration issues. Before diving into the details, I’d like to hear your thoughts to ensure we’re aligned as we work through this. The team has already taken steps to resolve the challenges, and we’re adjusting the timeline to maintain quality, aiming for completion by xyz date. Progress is being made, and I’ll keep you updated as we move forward. Please let me know if there’s anything specific you’d like us to address.

Understand the Delay: Analyze why the project is delayed, what caused it, and how it can be mitigated. This shows you’ve done your homework. Develop a Revised Plan: Have a clear action plan and timeline that addresses how you’ll get the project back on track. Start with Transparency: Acknowledge the delay and provide context for why it happened. Avoid blame or defensiveness. Highlight Progress: Share milestones or areas of the project that are on track to show momentum and capability. Ask for feedback or suggestions that may help remove blockers. Reassure them that their input and support are valued in achieving success.
-
1.Prepare Thoroughly: Before meeting with stakeholders, I gather all relevant details—why the delay occurred, its impact, and how we plan to recover. Anticipating questions and concerns helps me feel confident and prepared. 2. Involve Stakeholders in Problem-Solving: Engaging stakeholders in the discussion by asking for feedback or suggestions shows that their input is valued and can often lead to creative solutions. 3. Follow Up Regularly: After the conversation, I ensure stakeholders are updated on progress, demonstrating accountability and keeping communication channels open.

Try to buy the needed time by showing some real use cases. Yes, you will need time to do this, but you can just hard code these examples. This way you will show the potential, manage expectations, and buy some more time to deliver the expected product. Extra: try adding more value/functionalities than the ones originally requested, showing the potential. You will be able to use this as a leverage in order to buy more time
