One tool I love using for this type of interaction is ChatGpt. I plug in what I want to say the way I want to say it, then tell the AI to "make professional," and/or "make clear and concise." It invariably softens the tone and makes it more palatable and respectful. Additionally, asked it to analyze the writing of others for manipulative elements. It pulls out things hidden, and has helped me over time to see ways in which I may be speaking in a manipulative fashion. All these things help me speak better to my team.

First of all, always think about the people you are delivering the message to. Try to be "in their shoes" and see how they feel and their reaction. Most importantly - treat them with respect and kindness. Always! No matter how bad the news is, kindness and respect will make it better for everyone. Treat them in a way YOU want to be treated in the same situation
