What are the best ways to collaborate with administrative assistants and team members to solve problems?

By communicating clearly and respectfully you are also able to understand your team member’s perspective and potential factors that may hinder them completing the task. If you communicate your expectations they will also communicate any deadlines or alternative projects that may take priority over the task you have set.

One approach I've found valuable when engaging with administrative assistants is cultivating open, respectful communication. My experience as an AA underscores the importance of clear dialogue. While supporting managers and multiple departments, I ensured schedules, priorities, and tasks were effectively communicated. This streamlined operations, optimizing collaborative efforts. Coordinating appointments required sharing schedules and preparing materials in advance, saving time and enhancing productivity. Actively nurturing transparent communication and mutual respect yielded fruitful collaboration. It not only improved workflow but also fortified working rapport, leading to heightened efficiency and effective problem-solving.

For me the best way to  collaborate with administrative assistants and team members to solve problems is to effectively communicate the needs and negotiate for the best interest of both parties.  There are times that problems arise due to miscommunication. I have to effectively communicate to the team member and explain to them why problems arise. I negotiate with them to arive with the best interest of both parties.

The approach that I like to have is a supportive and always helping to learn. My experience is that when you have a manager, other team mates, or deparments that are intertwined being supportive is key. With an approach to help anyone that needs it.

I will be taking this question personal because I have been assisting organizations to developing strategies to enhance their businesses. As an administrative assistant I have good networks because my administrator are focused on the goal, Sometimes he lacks ability to welcome new opinions or ideas. The focus is to get things work, so as an assistant I go extra miles and even collaborate with others to achieve set goals. You might not think it, but an assistant who knows what he is doing is everything to the success of administration! The nature of our role means we come in contact with many different people, companies and suppliers, and we are generally pretty helpful! There is nothing that works more than synergy and commitment.

In respect to this, ensure your aims and goals are aligned and clearly indicated, that way, each team will know what is expected of them and how to achieve their goals.

Communication and the WAY you communicate is very important. Clear expectations, goals and constructive feedback is an absolute must. Encourage questions to check for understanding. Watch people’s actions/reactions and give undivided attention while communicating specifics to make sure they are understanding. When asking for input, concerns and suggestions let them know it’s safe to speak up and be vulnerable. Back it up with actions not just words. Lastly remember everyone loves to be validated once in awhile.

First, what is the issue that needs to be resolved. Second, what are your possible solutions? Whiteboard EVERY SOLUTION. You never know where the solution will come from. Third, think. What is a viable solution? Which solutions are not viable. Remove the solutions that are not viable. What’s left over…your solutions. Which of the solutions will work best for your situation. Always keep your customers in mind. This is for them.

It has truly been a great experience when you have managers who delegate projects and responsibilities to their AAs but also realize that the support and understanding should come with that. To also know that they will exert their best when they have the confidence from everyone around them that they can do anything set before them.

One thing I've found helpful is when the leader delegates and trusts an AA and cultivates openness, the AA's confidence is boosted and they can freely contribute with relation to the past, current and future plans of the organisation. AAs hold a vast amount of institutional memory, especially if they serve multiple leaders and departments.

This is an area that micromanaging can really be frustrating and a confidence killer. I know sometimes trusting can be tough. You may decide the task will be faster if you do it yourself, but if you ask someone to do something you’re not helping them by doing it before they get the chance. Giving them tasks and supporting them is key.

Create a team environment where people feel confident when they ask for help. Your team needs to trust their leader just as much as the leader needs to trust the team.

This is a great way to help your team learn and grow. Encourage open minds but in a group setting staying on task and next steps keeps things moving.

It's critical to keep up with forever changing landscape of the world we live and work in. Covid-19 taught us a lot about how we must adapt, learn and constantly change.

Unfortunately, most companies do quick onboarding, where administrative assistant might be still confused afterwards. I believe you work with an administrative assistant, as a peer, as a part of the team. For the administrative assistant, to be set up for success, is through learning and development, through successful onboarding and training. As a Business Operations Analyst, I had created many different documents (via Atlassian/Confluence) to help others in the company learn or understand steps. This is where I would point the administrative assistant, to all the pages we have in Atlassian and to read as many “how to’s, (mainly used by PM’s, operations, sales, etc.). I would also show them a library of resources available to them.

I also agree with this point that sufficient support during the learning process of admins can lead to business results. Employing suitable support for them can reduce undesired difficulties and bring about positive outcomes in business operations.

Every Admin/Executive partnership should start with trust from the get go. You are working closely together so being supportive, honest and transparent with each other is important.

Letting people know you care will never be a bad thing. Remember to keep the boundaries clear however, because sometimes the support, empathy and compassion can be taken advantage of. Having a trusting and positive relationship with transparency and accountability will help keep those boundaries in check.

I would also add: Provide Relevant Exemplars As someone that has assisted in corporate, academic, and legal settings, I find there is often tonnes of document drafting and complex writing involved. I personally love this aspect of these roles, however, it would be ideal if each workplace had a “starter pack” of previous document examples reflecting the company tone, writing style, and expectations. This would: - Create a consistent voice - Guide new trainees - Mitigate structural errors - Save valuable time - Boost morale and confidence So please, upper management, start with the starter packs! 📑
