How can you effectively communicate deadlines with your team?

One thing I do with my team is called weekly commits. Every Monday every team member documents their plan for the week, including things they need other people to do. At the end of the week, we review those things together and talk about what was completed vs not completed, which is great to hold each other accountable as a group. The other rule I live by is one owner per task or project. Business is a team sport, but at the end of the day one person needs to be held accountable for outcomes, so whether that’s a simple task or an overall project, each should only have one owner.

Start by showing the essence of team work and how dependent the work is on their accomplishment. Appreciate their effort on previous works and illustrate how this work is so significant for them to show, some improvements or extend the benchmark. Insist on the common goal of meeting the deadline and how important it is not to disturb the relationship between the clients and the company.

I love to make deadlines fun for my team by working with them to set and meet the goal. We discuss potential challenges, develop a collaborative strategy to progress, and then agree upon a date that the work will be finished by which is typically earlier than it’s actually needed. Everyone is motivated to get the task or project completed because they were all part of the decision-making process. I’m a servant leader which means I lead alongside my team, creating an environment where success happens together.

In my experience clear KPI’s and touching base regularly is the key. If the work is not moving towards completion by the due date it is important to identify if the team member is finding it difficult or if they require assistance with their time management.

In terms of any communication, I think it’s very important to set. Very clear expectations. Instead of saying something like sometime next week, I would be a specific as possible as far as the date and time something is expected. When setting expectations from others, it will save both sides a lot of frustration if you minimize ambivalence and ambiguity as much as possible.

In my experience, when I encouraged my teachers to take the CliftonStrengths personality test, I began to leverage each team member's strengths effectively to achieve our goals and objectives. I gained insights into motivating my team to progress in their work. This shift in team performance was crucial because I understood who needed autonomy, flexibility, or guidance, allowing us to customize our weekly team meetings to align with each team member's strengths.

Understanding the role of your teammates makes it easier to communicate deadlines. Assuming that your colleague can get something done in a short turn around time can cause delays. Consider each others individual capacities and over communicate if it helps.

Having a deadline and back tracing from deadline to beginning would be a good option. By that way, you clearly set a deadline for every chunk of your work and people can't say excuses as you have a deadline for every part of your project beforehand!

For clear and effective deadline communication with your team, prioritize SMART goals: Specific: Clearly define the deliverables and expected outcomes. Measurable: Establish concrete criteria for measuring progress and completion. Achievable: Set realistic deadlines that consider workload and resources. Relevant: Ensure deadlines contribute to overall project goals and priorities. Time-bound: Specify clear deadlines with start and end dates.

SMART goals are somewhat important for project planning, but have little to do with deadline communication which is what this article is supposed to be about. However, the time element of SMART is important of course. Communicating deadlines is most effective when you work with your team to establish what it realistic. Sometimes of course the deadline is non negotiable, but by openly communicating with the team well ahead of the project starting you can set realistic expectations and allow the team to communicate back what they’ll need to help complete the tasks within the set timeframe.

Your go-to tool, of course, is SMART goals due to its clear structure. However, I've discovered that when the team collaboratively creates SMART goals based on specific criteria, they take more ownership. Since they are the ones creating these goals, it places accountability on each member and fosters shared responsibility. Regular check-ins and updates are crucial to keeping everyone on track, and these can be conducted in various ways, not limited to in-person or online meetings.

The way best to initiate positive language is to start with a complement. People resonate when they feel valued and appreciated. Pointing out a specific task, job, or effort someone made leads to positive interactions and ultimately positive outcomes. Some examples are “I noticed you took the time to”, or “I really admire when you”, or “You did a great job when you”.

I doubt any leader would use the term ‘Or Else’ - but this point is true in as much as by communicating openly you create transparency and a willingness to work as a team to hit deadlines. Also, communicating the ‘Why’ is super helpful to allow your team to understand the reasons for the deadline or even why the project is important as it might not always be clear. This then in turn also helps your overall communication about the project itself, not limited to just deadlines.

Working with a team requires top-notch interpersonal communication. This applies to all interactions with everyone. When it comes to a team, it's always best to choose your words wisely and lean towards the positive. It's also a good idea to give positive feedback. Nothing should be taken for granted in this regard. It's amazing what a small word of thanks or appreciation can do for motivation.

Positive framing is crucial for any team's performance. In the past, I used to start by highlighting a previous success and the team's performance, then I'd transition to something like, "Now, we're shifting our efforts toward..." or "Our focus will be on..." and provide the reason for the change. I would also encourage the team to share any additional successes they remember from past projects/performance. The goal is to create a positive framework and build on it for motivation and productivity.

A quick note about listening - it has to be genuine. There are many ways to mimic active listening with curated statements that respond to your team member, but the difference between a great leader and somebody who actually doesn’t care that much is listening and responding as a human being.

I understood my role as a leader to encompass collaboration, facilitation, and obstacle removal. An effective approach to fulfilling these roles is to engage in empathetic listening to truly understand people's perspectives. I often encouraged my team members to help me grasp the challenges they perceived or anticipated, which could hinder them from achieving our goals. My aim was for them to identify these challenges and roadblocks, and together, find the most effective solutions to overcome them, enabling them to perform at their best. Ultimately, my goal was to empower them with ownership and the necessary tools for success.

Be organized and clear. Set expectations. Be realistic when setting timelines. Keep the team up to date with your progress and if there are any changes.

I set deadlines X amount of time ahead of the true deadline. At Y point prior to that deadline, I check in to see progress towards that goal. If progress lags behind our goal, having that buffer window allows us to re-strategize workload distribution and recruit additional support to complete the task on time.

Flexibility and adaptability are key attributes that both the leader and the team must embody. I would consistently communicate this mindset at the outset of every meeting, ensuring that my teams understood my expectation regarding potential unforeseen circumstances. Consequently, I often established both a soft deadline and a hard deadline, with the team being aware of the soft deadline, while I reserved the hard deadline for contingency scenarios in case the soft deadline encountered delays for any reason. To provide additional leeway, I typically maintained a buffer of one to two weeks between the two deadlines.

Discuss with your team what mechanism they agree can be used to support team efforts in meeting deadlines. Is it weekly meetings? Reminder emails? Leaderboards? Creating a unified system to generate feedback and reminders for the team is helpful because they know the single place to access this information and you, as the leader, don't have to keep up with infinite customized ways of connecting with each team member.

I've used a series of post project surveys to gain anonymous feedback from stakeholders to gain insight on continuous improvement methods. Then I couple that with individual 1:1s and group post-mortem sessions to seek face to face contributions. To support continuous improvement buy-in, I focus on employing the feedback and give proper credit to the individuals who suggested it. This way I continue to stay humble and seek areas of improvement for future projects and my own skill set from fellow colleagues.

Also set them to be smartER. Make sure you Evaluate periodically, while also ensuring they are Ethical and Equitable. And make sure the team is Rewarded when hitting targets!

When communicating deadlines to your team, clarity is paramount. Clearly articulate the timeline, emphasizing the significance of each milestone. Utilize a variety of communication channels to ensure everyone is on the same page, and encourage questions for clarification. Understand that transparency builds trust, so be realistic about expectations and potential challenges. Setup a pre-deadline. All you have to do is set up a deadline one or two days (or more) before the actual deadline. That will give your team enough time to adjust in case they fall behind.
