How can you develop a system to manage deadlines for content strategy?

I use an Eisenhower Matrix to prioritize. This matrix has 4 quadrants: urgent and not urgent as the columns; important and not important as the rows. A task that is both urgent and important would be first priority, and a task that is urgent but not important can be delegated. Few things to note while using this, or any other prioritization tool: 1. If it feels like every task is important, ask youself: Is this important right now? Does this need to be done this week? What would be the impact of pushing this task? 2. Delegating tasks can open up another task for you - reviewing it. Ensure to factor that in 3. For tasks that depend on other tasks, ensure creating sub-tasks within the matrix so you're aware of the time required.

If you want to never miss a deadline, make sure you plan your strategy well. People miss deadlines only because they either: 1. Don't plan well enough 2. Or they don't plan anything at all When planning your content strategy, make sure to prioritize your content based on what the businesses needs more in terms of imminent goals.

Make sure that deadlines are clearly documented and easy to reference in an easily accessible location. Once you've done that, consider your user's point of view - where else might they go looking for this information? For example, pin a link to relevant slack channels or include a link in your Google/drive dropbox folder.

This can be hard sometimes. You want to impress your clients by finishing work faster but you also don't want to risk burning out and completing the work too late. The best solution in my opinion? Set generous deadlines for each part of the project and play it safe. It's better to respect deadlines and take a little bit more time rather than finding excuses for why you turned the work in late.

I always like it when my workflow tasks are documented in such a way that i can cross/check them off when I'm done. I know it's a small thing, but it's a nice sense of accomplishment to actually check something off my list! It's helpful to use a tool to keep everyone aligned. You can use a dedicated content tool like GatherContent or a more general tool like Trello to keep everyone aligned and in the loop on the status of all your content.

People works differently, what works for you might not works for others. Figure out what style you are okay with and try to stick to it. Even if you cannot stick to it, ask yourself and figure out why. Understanding yourself is a key to establish a better workflow and routine

Not all days you feel the same. Today you might feel burnt out. Tomorrow, you might work for 8 hours straight. Depending on the day, adjust your deadlines accordingly to how you feel.

Prepare a content calendar. Divide tasks equally among your team members. If a particular project has different aspects then divide the tasks in such a way that it gets done within defined timelines. For example, if you have to make a report post an event, ask one person to collate all the resources, the other person can write the content, then someone can design it, so that no one person takes the burden of it all. Also, it’s important to recognise the strength of your team members as it helps you delegate tasks to people who are good in their particular job role. If the right person is doing the job it’s very unlikely to miss a deadline.
