How can you create an interactive and engaging workshop for Educational Leadership?

I agree with groupings being important and I would add the atmosphere you create can change engagement. What do you want your participants to feel while they are there? Can you arrange the room for purpose? Sitting at large round tables might not be what people need in order to engage. Try different areas for different purposes. Some places with no tables. Some places with standing tables. Possibly even some comfy spots for deep conversations. You have the power to create the atmosphere. Think about effective classrooms that we create. Might adults benefit from the same thinking and intentionality?

If you can't get a list of attendees from the organiser of a leadership workshop, or they're not your own team, then invest quality time at the start of the day getting to know attendees. Make sure you're prepared well enough that you're not bustling around as people arrive. Instead, speak with people over morning coffee and get to know them, build some kind of relationship, however light that might seem at this stage. Also spend time on an activity that will help you understand what they want out of the day (e.g. hopes and fears, or big questions). Be careful not to promise answers to everything - you won't manage that! But you can use their answers to inform the focus, and you can tie ideas and practices back to their questions.

To effectively plan your workshop, it's essential to understand your participants. Knowing who they are, what their needs and expectations are, and what prior knowledge and experience they bring will enable you to tailor your content, objectives, and activities to suit their level and interests. You can gather this information through surveys, interviews, focus groups, pre-workshop questionnaires, or learning contracts. By understanding your audience, you can also establish rapport and trust, creating a positive and supportive learning environment that enhances engagement and learning outcomes.

Defining the purpose of a workshop without your attendees being there is hard - you're guessing what they need unless you have some prior conversations and data. So start with a simple outcome - greater confidence in a particular skill, a deliverable like a vision statement and first steps towards it... something that you can feasibly produce within the day and measure later (confidence on a scale of 1-10 for example). Consider spending some time at the start of your session reconfirming the purpose with attendees and using their language to redefine it. You can't redesign the purpose completely to create a different workshop from what you've planned, but you can steer what you've planned closer to the aspirations of your group.

Making a workshop interactive, intriguing and engaging is imperative, though challenging at times, to achieve the desired outcomes and the task becomes all the more taxing when the participating group is highly heterogenous, which it actually is more often than not! Some of the strategies used with great success in our workshops have been brainstorming exercises, game-based learning, digital interactive learning tools, focus on peer-to-peer learning through group engagements, team activities and quick but continuous assessments, among others.

In our leadership program, we design each hour of content to have a mix of direct instruction / speaking from us (about 10-15% at most), group or paired activities with a concrete outcome (about 40%), and group discussion and sharing (about another 30%). We leave 10-15% of time as contingency. Don't overprepare slides. Have some key ideas illustrated if a graphic helps convey things easier than words. Have your frameworks ready to use (printed or in a program like miro.com) so that participants are looking at each other rather than your screen.

Avoid the temptation to run a day of endless ice breaker type activities. And don't overprescribe what artefact you want people to produce on the back of their discussions or thinking. Keep things simple and try to build on the previous activity so that people can see how each activity contributed to the next one, and thus to the end of the day.

Groupings are best designed, rather than left to random. If you can't do this beforehand, then in the workshop you might consider an activity to identify relative experience in the field, for example. You can then allocate some numbers 1-4 over the line of people, and make sure that each group has one person from each experience strand in the room.

It is the final step, act as a guide and catalyst, sparking interaction and collaboration among participants. Emphasize active learning through discussions and activities, adapting on the fly to maintain engagement and address emerging needs.
