How can you communicate the importance of a delegated task?

Connecting the work with outcomes is critical for persuading people to take action; that's basic brain science. People are more likely to take action when they understand the benefit to themselves. If there's a direct benefit for the person or team (bonus, commission, promotion, etc), make that clear. If they won't benefit directly, then focus on what the client, customer, partner will get out of the action.

When communicating the importance of a delegated task, emphasize its contribution to the overall project or goal. Clearly articulate the impact it has on the team's success or the organization's objectives. Highlight how the task aligns with individual skills and growth opportunities. Connect the dots between the delegated task and the larger picture, emphasizing its significance in achieving desired outcomes. This context helps convey a sense of purpose and importance, motivating the person to approach the task with dedication and understanding.

Timelines and deadlines are vital for success. The more concrete, the better. Try to avoid vague, general, or relative words about time. For example "as soon as possible" doesn't give a specific time and isn't realistic. "By 5pm tomorrow, 3/2" is specific and allows the person or team to organize and prioritize all of their responsibilities (which include things outside the project like eating or already-scheduled meetings--other personal and work tasks) to get the task done.

A delegated task is often wrongly seen by many, as an additional work requiring extra effort, as a natural tendency. But if the leader can clearly communicate not just the positive impact it may have on the business, if the task is properly done, but also how it can improve the leadership skills of the person or the team performing the task, then it serves a greater purpose. For example, if the task is done leading to positive end result, it helps to showcase 'Lead by example' scenario and if the task is done with all the diligence but has a negative outcome, it helps with a 'Learn by example' scenario. Either ways, the impact is positive on the person or team performing it.

As a Business Com Coach I will emphasise these points on importance of delegation of key tasks: 1) Purpose: Clearly outline the task's purpose and its alignment with overarching goals or objectives. 2)Impact: Explain how the task contributes to the team's success or project progression. 3)Trust: Highlight trust in the team member's abilities, indicating why they were chosen for the task. 4)Opportunity: Frame it as an opportunity for growth and skill development. 5)Support: Offer assistance and resources if needed, ensuring the individual feels supported. 6)Accountability: Discuss expectations and deadlines, emphasising accountability and the role's significance. 7)Feedback: Encourage open communication for feedback throughout the process.

Hire tge right person for the job. Trust them completely as a part of the team. The entire team will benefit. They will be in position to win or lose according to their performance. All or nothing... it's a matter of trust.
