Before delegating tasks, there is a discussion of the end goal and the time constraints we will be facing. Then, tasks are delegated based off of knowledge, skills, and responsibilities alignment. When delegating in this manner, the team knows the line of autonomy for decision making and only reaches out when obstacles or other support is needed. Brief status updates determined by all helps to assess if we are still on the scoped timeline. Utilize the resources you have to help with tracking tasks. For example, in project management tools like Monday.com, tasks can be assigned to a person with a timeline and a deadline with automations set up to send reminders and include status updates.

Prior to delegating the task, select the person to do it. Have close discussion what the task is all about, what needs to be accomplished, what is the timeline, what are available resources, how important the task and so on. Emphasize that you are here at any time can assist. Regularly check the progress. Know what went well and what went wrong. Give the team member the decision-making to issues and concerns within his scope. Give him enough length of rope. Communication is very vital thus keep it flowing. Despite tedious preparations unexpected things will come out. We must be prepared about them. It is good also to be flexible. As long as you will still get the same expected result.

You personally take on the priority task while you delegate task to your team in a process of priority and making sure that your team will not be overwhelmed with taking on an extra task or two. In the end this not only helps you but it shows that your team is wiling to step up at a moments notice and step up to the occasion and build their steps to success.

Before delegating the tasks, have a meeting with everyone to inform them about the tasks and the priority level, then delegate the tasks. With that, the persons the tasks are deleged to won't be assigned more tasks because everyone knows that they're working on something with high priority level.
