How do you foster a culture of open communication to facilitate change acceptance among team members?

Open communication has to mean no negative connotation to the communication brought forward. You have to build a culture of trust where your team knows you have the team's back while pushing the team to achieve more. The team's growth happens by never blaming the group when change doesn't work. You let them know that the issue was in how the change was rolled out, not their effort, but ask how the change request could be modified to succeed. This type of culture takes time and examples. Any setback by you as the leader will take time to repair; thus, wait to do things that will set you back. You have to take ownership of the change

Change Management is one of the most important skill sets a leader can have. Open, authentic communication is the foundation. Active listening that drives course correction is the first level. Follow-through, training and recognition tops the building. Without all three levels the building will wobble and topple. And at the risk of mixing metaphors, it is like painting the Golden Gate bridge. You have to circle back and repeat regularly.

If I expect team members to be open and transparent with me, I must also demonstrate the same level of openness with them. By leading with transparency and building trust, we can create an environment where open communication thrives, allowing for smoother transitions and stronger collaboration.

Give employees a sense of voice. In change, most people immediately want to know three things: what does this change mean to me, why is it happening, and what will it look like when the change has been made? It is important to inform employees of the change, with authentic answers and give employees and leaders clarity. Offer support and acknowledge their concerns and consider points raised if you need to shift positions or add more change management support. Also by give them a sense of control with options. By giving your people as many choices as possible during the change, you can reduce their fear and discomfort and increase the chances of engagement and buy-in.

We can create an environment where open communication is the norm, making it easier for team members to accept and adapt to change. Transparency and fairness in management actions are key to establishing a solid base for organizational relationship and trust. Adequate delegation and participation in decision making will make the people relevant and responsive to organizational needs. A merit based system that put emphasis team work will further augment open and collaborative culture. As leader one needs to walk the talk and demonstrate consistent behavior towards its subjects. Also showing that they (as leaders) also need help and have vulnerabilities will remove fear and allow the team to open up. Also leaders should never shy away from genuine praise and on the other hand promptly and privately deal with a negative behaviour and agree on clear steps to correct them.

Listening with an intent to understand and not only to respond or react is critical. While listening, listen actively and don't start forming your own response when the other person is speaking. Create the environment of vulnerability based trust wherein inputs and differing perspectives are shared and accepted without the fear and apprehension.

The culture of an organization is broad- based and quite encompassing. People can only work effectively to deliver on objectives if leaders communicate their vision clearly, influence, inspire and motivate the followers to buy into and run with their programmes. Leadership will only receive the cooperation and collaboration of others when they invite, recognize, assess and reward their contributions. Leaders are expected not only to lead by good examples, they must nurture, coach and steer their teams politely for optimal results. They should be caring, be careful to know the strengths of different members and channel support to correct the weaknesses observed. Followers in turn will benefit and transform if they listen and learn.

Active listening is the first and most important thing, in my opinion. While the direction is to be provided by the leader, they need to be receptive to team members' opinions, ideas, fears and objections. The leader may bulldoze one's way into implement the change, but such forced changes last only as long as that leader is there. For people to understand and embrace the change, then need to feel included in the process. This starts with active listening.

Active listening is more important than active active speaking, you probably ask why? Because we have 2 ears and 1 mouse, this is jock of course but the same time true. Listening starts with body language as we got biggest amount from what we see, then intonation and finally words. Pay attention to details during listening. Ask questions not to clarify, but to understand.

Transparency extends beyond internal communication. Leaders must recognize when additional expertise is required and be open to seeking help from consultants or specialists in the field. Their insights should be communicated to the team to ensure everyone understands the rationale behind certain strategic decisions. This keeps the team informed and aligned with the organization’s goals. However, the leader must exercise discernment in filtering the relevant takeaways from external inputs to avoid overwhelming the team with too much detail that could create confusion.

I am a lifelong student, and I encourage my team to constantly learn and grow. This brings new ideas and perspectives to the table, leading to improved performance, fresh approaches, and innovative solutions. These are only possible if the team is continuously learning and evolving. And don't forget to take those much-needed walks on the beach or swims in the ocean—these experiences help keep your body fit and agile.

When team members are asked to embrace change, it's essential that they have the skills and knowledge necessary to adapt. Training equips employees with the tools they need to navigate change, reducing anxiety and resistance. Open communication during training ensures that everyone feels supported throughout the process. A company transitioning to a new project management software might face resistance because employees are unfamiliar with the tool. To address this, the company can offer comprehensive training sessions and make resources available for ongoing support. Additionally, leaders should create feedback loops during training, asking employees how they’re finding the process and adjusting the training based on their feedback.

It is extremely important to ensure people have time for further education. People who learn and end up leaving the company (a common excuse to not allow time and budget for it) are much better than people who stay and don’t continue to learn. It’s even more critical today: given developments such as AI and sustainability, your people will be quickly „out of date“ if they don’t keep pace. Also, investing in your staff shows you care about their future, their employability, their adaptability - and is therefore likely to increase engagement and loyalty to the company. Once companies stop investing in their people, that’s the beginning of the end as an employer of choice.

Many times resistance to change comes from the fear of unknown or lack of understanding about the change itself .That is why it is important to provide the necessary training for the employees to acquire new skills and competencies to navigate the change. Once employees feel they have the required skills they feel a lot comfortable during the transition phase.

What I have found to be helpful is to schedule regular training on different aspects. For example, in a university, there should be topics such as Fostering a working relationship between research supervisor and supervisee, academic writing, scientific research, teaching and learning excellence, and so on. These trainings empower the staff and customers to maximize opportunities and make a difference.

Organizations never work in silos. One person's output may be another person's input. Watch your ego that insists you must be right and can never accept a mistake. Recognising the team is the most important and at the same time mostly neglected aspect of the change management . Once the task is accomplished we tend to focus on the next project in hand ignoring the contribution made by the team members Recognising goes beyond monetary compensation where employees feel valued, respected and rewarded for their contributions. Some times even a big shoutout do a world of good to motivate the team.

Getting to the end result can take time. It is sometimes easier to see the gap to the desired outcome or performance - and we tend to remember criticism more than praise. It is therefore essential that a leader actively recognises progress. Doing this maintains motivation and ensures credibility when talking about what else needs to be done. Reinforcing good habits cements progress and builds the platform to make more change. Looking for progress to call out also keeps the leader more focussed on the target end result. This ensures self recognition and extra personal energy as the leader driving change

Recognizing effort is more than just motivating someone; it's a form of direction or guidance on how you expect your team members or colleagues to behave. Recognition costs nothing, but its value to others is priceless. However, it's crucial to consider the approach and method when recognizing someone. Before recognizing an individual, ask yourself these questions: Why? When? and How? Only then will you be prepared to effectively recognize someone. And remember that even a simple "Thank you for your effort" at the right time can have a profound impact on someone's life.

It’s also important to recognize that people like to be appreciated differently—some publicly, others privately. Tailoring recognition to each person’s preference makes them feel valued, helping them embrace change more easily.

Not all employees are the same. It is fair and beneficial to acknowledge those that excel in coming up with fresh ideas and those that bring more constructive ideas. That is why incentives and awards can inspire employees to be more participative.

Don’t be an “I” person. Thank people and use “we” to acknowledge team efforts. Call out people when warrants as this is a great motivator and tribute to a leader’s character.

A new version of your product, a client win, the first anniversary of the company’s founding. - Praise publicly (criticize privately). - Give credit, don’t take credit. - Create a culture of risk taking. To do that, you cannot punish people if things go wrong. But also, tell the team “Don’t be wrong alone.”

Recognizing others contributions is really critical. I’ve always tried to live by the perspective that it is a good thing to praise in public and criticize in private. Never a good idea to humiliate a coworker or someone on your team. That undermines collaborative effort. It is equally important to recognize those that really did contribute rather than those perhaps just seeking to get credit. I try to determine that by using a leadership by walking around perspective. This is where judgment of a good leader is paramount.

The value or impact that consistency affords in anything you do as a leader or manager cannot be overstated. It's common in today's hyper-complex business landscape to throw operating with consistency to the wind. I've certainly reached a point where I've thrown my hands up and asked myself—"what's the point?" Because tomorrow is going to bring a new challenge or fire to put out anyway! However, through trial and error, it’s become apparent that even working with sporadic consistency is better than no consistency at all. So give yourself grace, strive to be as consistent as possible when managing or leading others, and when you're not, take small steps to get back on track.

If there is a perceived lack of fairness, empathy, or authenticity in how decisions are being made or executed (ie., comp, promos, terms, org changes, etc), then trust will be low, and people will not feel safe to engage in heathy debate or open dialogue. A culture of open communication thrives when people feel their voices are heard, their perspectives are valued, and mutual respect is modeled. This does not mean that all input is actionable, but when high trust exists, those decisions are better understood and supported.

There is TMI, TLI (too little), TWI (the wrong) - and then JRI (just right). . Consistent, brief, factual is good. If the wrong info persists, quickly correct it - don't ignore or sugar-coat. . Pre-Comms : "test" drafted info with a set of trusted resources, before broadly informing. Is this info correct, adequate, timely, etc? Post-Comms : gather feedback from trusted resources, and adjust as necessary.

You are either in control of the narrative or you leave room for fear, rumours or speculation to creep in. Plan for regular updates both formal and informal and encourage checkins between team leaders and managers and their teams. Be open, honest and respectful in all communication whether verbal, nonverbal or through other mediums (email, group messages, hangouts, slack etc). Your team are looking and listening to you more than you know. If you can show resilience, confidence and motivation in times of crisis your team will pull together and support you. Allow yourself to be vulnerable and admit when you make mistakes or moved too quickly or slowly on a certain matter. Show you’re authentic and that you really do care about the team.
