As a marketer, handling multiple projects is a given. The following has worked for me. 1. Break down every event, activity-wise, and assign people or teams to it with clear responsibilities and timelines 2. Create common groups on Google Docs/ WhatsApp groups for ease of communication 3. Depending on the timeline, set up a status update meeting at an appointed hour. This should be short and focused on getting updates or identifying any possible crisis 4. Encourage the team to look for solutions themselves rather than being 'Cry Babies' 5. While jobs are assigned, I have always encouraged my team members to work cohesively and help each other. This has also helped me derisk the project

Collaboration helps and starting point is keeping a clear roles and responsibilities. Sharing of expertise helps to open up new ideas, sharing of experience help the team members learn quickly from each other and get into the track. It saves time and helps in proposing a well-designed plan and executing this plan. This allows managers to delegate the work easily on the basis of specialisation. This helps in saving a lot of time, and things are done much more efficiently. Leveraging tools and applications is a key to be effective and successful. Collaboration involves people from different fields of expertise, it helps in delegating and distributing work. This helps in reducing the workload big time.

Some additional strategies to enhance teamwork: 1. Create a centralized information hub where all project details, timelines, and resources are easily accessible. 2. Teamwork is the heart of every successful event. After 20 years in the industry—spanning nonprofits, membership organizations, and now healthcare meetings—I’ve seen how collaboration transforms even the most complex events. Key strategies? Clarify roles to prevent overlap and empower ownership. Leverage tech like shared calendars to connect teams. Communicate regularly to celebrate wins, solve challenges, and keep everyone aligned. Build relationships by fostering trust and open dialogue. And don’t forget documentation to keep everything organized. In hospitality, where relationships drive everything, great teamwork isn’t just essential—it’s what makes the work so rewarding!

A clear communication rhythm helps me collaborate. I hold brief daily check-ins to keep everyone on track without wasting time. This meeting covers updates, blockers, and priority adjustments, helping the team stay on track without being overwhelmed. Project management software plays a crucial role in helping team members understand how their tasks fit into the overall picture. This understanding, coupled with accountability and clear deadlines, makes collaboration feel more manageable and the team more confident in their roles.
-
Keep it simple but do the following: - if not in place, agree on one collaboration tool, it can be as simple as a shared document or a free process tool like Trello - Prioritise these projects, not all will be equally urgent and there will be a few hard deadlines (communicate those to all stakeholders) - have short touchpoints, daily or every other day, or weekly, whatever works for your team. - Take a helicopter view from time to time. - Think about points of failure - in events this is usually hospitality or production of a booth, material or merch. Think about alternatives for those.

To ensure smooth collaboration across multiple events, I focus on clear communication and defined roles. I make sure everyone knows their responsibilities and the timeline. Regular check-ins help keep things on track, and I encourage my team to raise any issues early. Tools like shared docs or project management apps are key for keeping everyone aligned. I also foster a culture where feedback flows both ways, so no one feels stuck. It’s all about teamwork, and when we’re all on the same page, things run smoothly.
