Calculating the Right Media Attendance We understand that every agency wants to win accounts, which often leads them to set high KPIs just to attract attention. But is this the right approach? Is quantity more important than quality? In today’s landscape, with many media outlets shutting down, achieving high media attendance has become increasingly challenging. Those that remain active are also more selective about attending offline events. So, how can we convince clients to set lower media attendance targets? First, it’s important to clarify that more attendees don't necessarily result in better media coverage. For example, if the KPI is 50 attendees, we may need to invite 80 media outlets, including lower-tier ones. However, with a KPI of just 15, we can focus on inviting 30 quality outlets and be more selective. Top-tier media typically produce multiple articles—covering press releases, event activities, and interviews—while smaller outlets often rely only on the press release. A higher KPI also means the client must allocate a bigger budget for the venue, F&B, and goodie bags, but these additional costs don’t always lead to better coverage. It's important to help clients understand that bigger isn’t always better. Let clients know that information will still be widely distributed through press releases. Even with a smaller attendance KPI, the release can still reach a broad audience. This way, even with just 20 attendees, we can aim for 30 media coverages. Lastly, it's crucial to explain the current media landscape. Help clients understand the challenges media outlets face in Indonesia—such as layoffs and closures—and how difficult it is for them to stay afloat.
