A priority matrix is super helpful! I have taught my staff how to use this as well. Having a long list of tasks that are imminent can be overwhelming and a priority matrix is a great, visual way to categorize and settle the feelings of overwhelm.

Would like to add to the Eisenhower matrix and modern planning software, the older tools as well Excel (simple) spreadsheet and the pocket sized notebook! If you have basic knowledge of MS Office, Excel is an absolutely overpowered tool which can help you assess, assign and prioritise your own tasks, progress and development path.
Even though I am a big fan of technology, advancement and modern solutions, I find myself often reaching for my notepad for quick notes, references, explanations or documents to read at a later date.
We are all different types of people, learners and developers, so I always advocate for people finding out what works better for themselves after they get familiarised with the role and its requirements.

In order to balance urgent tasks without compromising quality you have to make space in your schedule to devote to those tasks. Urgent tasks are easily identified by using a priority matrix and can help cut through the long list of things that often make it onto our to do lists. Once you have your items on that list organize them accordingly so that the most important and urgent ones are at the top and get priority when scheduling them into your calendar. Once they make it onto your calendar do everything in your power to get them done, if you don't then they really weren't priority to begin with.

There will always be more tasks to accomplish than time allows. The secret sauce is ruthless prioritization combined with sufficient slack in your calendar. I have never met an executive who had too little to do. The unexpected will always happen during the week no matter how organized you are. Build in slack in your calendar (and if possible use time blocking for "deep work").

One of the most underrated piece of advice ever received!
While ambition and getting out of the comfort zone are the way to go if progress and development are the goal, we often find ourselves disappointed at the fact that we are not meeting our goals or expectations. We have to be honest and careful with setting unrealistic goals, as this is a dangerous recipe for disaster if we constantly miss our goals, deadlines or priorities.

We tend to want to pack every open spot on our calendar with something in hopes to get things done as quickly as possible but this can really backfire. When there is no wiggle room and the unexpected happens, we feel like failures and want to give up immediately. If we schedule in some blank space, for emergency purposes, then when they do pop up we can easily pivot. If they don't, we can use that time for a minor task on our list of things. When moving through this thing called task management you have to constantly and consistently work on it in order to hone your skills and figure out exactly what works for you. The important thing is to stick with it!

By keeping everything on a standard to-do list, we often overlook how long a task will take. But if we place those same tasks on our schedule, it forces us to consider how long it should take.

Always prioritize time in your calendar for both tasks and meetings and give both meetings and tasks the same attention. Do not move all your tasks to the calendar but make sure that you have slack in your calendar also to act on less time-consuming tasks or simple to do´s. Only the time-consuming tasks are time reserved in your calendar. Otherwise, the calendar will be jam packed and you will lose the overview. Make sure that you slack in your calendar also to act on less time-consuming tasks. I recommend using up to 10 task list categories and using the same categorization in your calendar. Even a simple system will be better if used with discipline. Just like most people only need a basic car to take them from A to B.
