How to Design Customer Responses Using Ai to Provoke Beta Brain Waves?

Yes, beta brain waves are the representation of the best productive state of our human technology—our brain and its thinking power.

If you haven’t yet read my exploration on what beta brain waves are, the magic they create, and how AI can support them—click here and come back once you’re done.

This article is part of an ongoing exploration of how we can use AI to better provoke the engagement of different parts of the brain, pushing us into beta brain waves while working with it.

Today, we’re focusing on how we craft customer responses using AI, such as ChatGPT, to guide our thought process in a way that supports beta brain wave activity.

Task: Designing a Customer Response with AI

When crafting customer responses, especially with the support of AI, it’s easy to fall into autopilot mode.

But what if we used AI to engage deeper thinking, activate beta brain waves, and create responses that are not just effective but thoughtful and precise?

Task: Use AI to craft a customer response for a delayed delivery while engaging the user to invoke beta brain waves.

Step-by-Step Example:

Step 1: Empathy First AI Questions to Engage the User:

  • What do you think the customer might be feeling right now?
  • Can you recall a time when you experienced a similar frustration? How would you want to be addressed?
  • What empathetic tone or words do you think will best acknowledge their frustration?

Why This Engages Beta Waves:

These questions require the user to draw from emotional experiences (activating the emotional side of the brain) while logically crafting a response. Balancing empathy and logic enhances mental coherence.

Step 2: Clarity of Action AI Questions to Engage the User:

  • What’s the clearest action you want the customer to know you’re taking?
  • How would you phrase this action to make it as simple and transparent as possible?
  • If you were the customer, what timeline would feel acceptable and fair for the resolution?

Why This Engages Beta Waves:

The user is asked to logically break down the resolution into actionable steps, connecting their analytical reasoning to a real-world perspective.

Step 3: Preventative Assurance AI Questions to Engage the User:

  • What steps will reassure the customer that this issue won’t happen again?
  • Do you think adding a “behind-the-scenes” insight about how your team is working on this will provide extra comfort?
  • What are the most important words or phrases to convey reliability and trust?

Why This Engages Beta Waves:

These questions demand critical thinking about long-term trust-building, requiring collaboration between the brain’s problem-solving and emotional centers.

Step 4: Final Polishing AI Questions to Engage the User:

  • What overall tone do you want the response to have (e.g., apologetic, solution-oriented, reassuring)?
  • Are there any unnecessary words or phrases in this draft that can be removed for clarity?
  • If you were the recipient, does this response make you feel heard and supported?

Why This Engages Beta Waves:

The user must review the message holistically, combining logic, clarity, and empathy to fine-tune the tone and structure.

Example AI Output for the User :

"Based on your input, here’s a polished draft of your customer response: 'Dear [Customer Name], We sincerely apologise for the inconvenience caused by the delay in your order. To resolve this, we have arranged expedited shipping, and your order will arrive on [specific date]. Additionally, we’re reviewing our shipping processes to prevent delays like this in the future. Thank you for your patience and understanding.'"

Why This Method Works

This process provokes beta brain waves in the user by:

  • Asking meaningful questions that require both emotional and logical engagement.
  • Encouraging structured, iterative problem-solving.
  • Balancing empathy (emotional side of the brain) with clear reasoning (logical side).

By actively engaging these mental processes, the user becomes more focused, productive, and intentional—hallmarks of operating in beta brain waves.

Why make something simple so complex? Can't AI craft a good response without all this effort?

Valid question. yes, AI can generate responses independently.

But most best practices for crafting effective responses with AI already require users to input specific information, such as tone, details, and context, for AI to generate responses that address customer problems.

What this approach does differently is not what information is asked for, but how it's asked—and this is where the benefit lies.

By structuring the process to actively engage the person supervising the task, it moves away from treating AI-driven response creation as a detached, passive activity. Instead, it ensures the person stays mentally involved, strategic, and intentional in using AI effectively.

From this perspective, there’s no real downside. We’re simply refining the way people interact with AI to enhance the experience—not just for the customer but for the individual overseeing the process. This method doesn’t just ensure AI performs its task well; it also keeps the human operator sharp, strategic, and operating at their cognitive best.

Ultimately, this approach helps prevent the risk of “numbing” a person’s critical thinking skills by over-relying on AI automation. By framing the process in a way that activates beta brain waves, we’re reminding ourselves of the purpose behind the task and reinforcing the human-AI collaboration. It's not just about solving the customer’s issue; it’s about creating a process that keeps the human element strong and engaged.

Why Does This Matter?

Actively commanding ourselves to use beta brain waves requires significant practice in accessing alternative mental states. it require practices like meditation and brain rewiring are well-known for cultivating this ability.

However, when we work in a coherent state that demands engagement from different parts of our brain, it naturally provokes the exercise of beta brain waves. Each individual will access this state to the best of their abilities and at their own level, but the immediate effect is a boost in personal efficiency and productivity—measured against their own baseline achievements and capabilities.

Instructions for Creating a ChatGPT Bot to Ask Questions That Invoke Beta Brain Waves

Here’s how you can set up a ChatGPT bot that asks strategic questions to engage users in a way that stimulates beta brain wave activity. The goal is to guide users into structured, focused, and analytical thinking by prompting them to reflect deeply and engage multiple cognitive processes.

Bot Instruction Example:

Objective: The bot should assist users in crafting thoughtful and professional customer responses by asking targeted questions. These questions should help users engage both their emotional and logical thinking, promoting collaboration between different parts of their brain, and driving them toward optimal beta brain wave activity.

Instructions for the Bot:

  1. Start with Empathy:
  2. Clarify the Goal:
  3. Encourage Problem-Solving:
  4. Reinforce Preventative Thinking:
  5. Focus on Clarity and Polishing:

Key Features for the Bot:

  1. Iterative Refinement:
  2. Provide Examples:
  3. Encourage Emotional and Logical Balance:

Instructions for Developing a custom bot :

  1. Use OpenAI’s ChatGPT Custom Instructions to program the bot’s behavior.
  2. Include the provided questions and guidance as part of the bot’s "system message" or "personality" instructions.
  3. Design prompts to dynamically adapt to the user's inputs, asking follow-up questions based on the user's answers.
  4. Incorporate personalization options to align with the user’s tone and style preferences (e.g., professional, casual, etc.).
  5. Test the bot by crafting sample customer scenarios to ensure it provokes thoughtful and structured responses.

This setup ensures that the bot doesn’t simply generate answers but actively engages the user in a collaborative process that stimulates deeper thinking and supports the creation of well-crafted, meaningful customer responses.

Remember

AI is a thinking revolution. When we consider what AI truly is—a technology designed to mimic human cognitive abilities—it makes perfect sense that it offers us the opportunity to push our cognitive abilities to the next level.

It’s not just about taking over tasks we don’t enjoy and freeing up our time—that’s the easy part. It’s about fulfilling the promise that accompanies every AI tool out there: enabling us to do more of what we love.

For me, this means doing it better—operating from an elevated state of awareness that allows us to engage in what we love with a depth and effectiveness we’ve never experienced before.
