📊 How well do you understand your office space usage? For today’s workplace leaders, understanding how space is actually being used is a top challenge. Data—not guesswork—is the key to making informed, employee-centric decisions that truly reflect how your team interacts with the workplace. Noel McNulty, Director of Global Real Estate & Workplace at Twilio, experienced this firsthand when transitioning to a remote-first model. With multiple satellite offices worldwide, his team took a hospitality-driven approach to workplace design. By analyzing workplace data, they uncovered new ways to optimize spaces for one-off events and hybrid work. 💬 “Data is just a necessary tool. It's a no-brainer to understand the bigger picture of what's happening in our world today, work and workplace. They'll probably look back 10 years from now and understand we're in this pivotal historical moment of everything changing. Coming out of traditional work norms, having more flexibility, and companies being remote-first. Data is the necessary piece of it all.” - Noel McNulty, The Occupancy Intelligence Summit - 4th Edition (https://lnkd.in/gKJYmkTN) As flexible, hybrid models become the norm, having data-based insights can make all the difference in designing spaces that your employees want to use. How are you using data to shape your workspace? Let us know in the comments! ⬇️

The latest JLL "Global Occupancy Planning Benchmarking Report" offers a wealth of insights into corporate real estate and workplace occupancy planning in our post-pandemic world. 77% of companies reported that they are tracking workplace occupancy data for assertive workplace planning and strategic decision making, supporting a growing global demand for workplace management solutions. Some fundamental topics covered in the report are essential for companies that wish to advance in managing their workplace, such as the following: Evolution of Hybrid Programs: The shift towards hybrid work models is reshaping space requirements and office design. Companies are increasingly investing in technology to support these changes. The report highlights that 44% of organizations have implemented IT modifications to facilitate hybrid working, and 40% have enhanced their conference room technology. This trend underscores the importance of creating flexible, tech-enabled environments that cater to diverse working styles. Data-Driven Decisions: Data is the backbone of workplace optimization. Organizations are integrating badge data and investing in reservation systems to better understand and manage space utilization. According to the report, 97% of respondents now use badge (check-in) data to track utilization, a significant increase from just 36% seven years ago. This data helps connect the dots between employee behavior and space usage, driving more informed decisions. Dynamic Workplace Management: Effective hybrid workplaces require ongoing review and adaptation. Technology plays a crucial role here, with many organizations moving away from visual observations towards more precise methods like badge and reservation data. Currently, 52% of organizations use reservation systems to support their hybrid programs. This approach allows for real-time tracking and management of occupancy patterns, ensuring that spaces are used efficiently and effectively. Dynamic Planning: Advancements in AI and data visualization software are revolutionizing workplace management. The report emphasizes the growing importance of connecting various data types into visual dashboards, providing a comprehensive view of space utilization. This integrated approach not only enhances planning and decision-making but also offers cost efficiencies through improved sensor technology and real-time analytics. As we continue to navigate the hybrid work era, it’s clear that technology and data are essential for creating adaptable, efficient, and dynamic workplaces. Embracing these innovations will enable organizations to thrive in this new landscape. Many organizations I speak with are facing a common challenge: despite significant investments in office spaces, they’re not seeing the return they expected. Underutilized areas, unproductive environments, and a lack of real-time data are leading to inefficiencies that are leading to frustrated employees. Some of the main pain point I hear from companies are: Wasted Resources: Empty desks and underused meeting rooms are costing more than you think, draining resources that could be better spent elsewhere. Employee Dissatisfaction: Mismatched spaces can frustrate employees, leading to lower productivity and engagement. Inflexibility: As work patterns shift, companies are struggling to keep up. Without insights, workplaces are stuck in the past, unable to adapt to the new normal. But lucky for them it doesn’t have to be this way. Robust data drives smarter workspace decisions! Comprehensive data on how your teams use your workspaces is crucial for optimizing your office environment. However, it's not just about knowing how many people are in a space—it's about understanding how they interact with that space, which drives meaningful change. Through Wi-Fi-based analytics, businesses are uncovering patterns that go beyond occupancy. These insights reveal how teams collaborate, where traffic bottlenecks occur, and which resources are under or over-utilized. By analyzing this rich data, organizations can make smarter decisions about workspace design, resource allocation, and traffic flow—ultimately creating environments that really boost both productivity and employee satisfaction. This approach is about more than tracking numbers. It’s about integrating multiple data points—team dynamics, environmental factors, and employee feedback—to create a holistic view of how your space is truly being used. Armed with these insights, leaders can fine-tune layouts, improve collaboration areas, and enhance the overall employee experience. What will the office of the future look like? - Fewer ping-pong tables, more purpose? - Fewer desks, more rooms? - Less homogeny, more innovation? Our annual research reveals there isn’t a one-size-fits-all solution. For some companies, hybrid makes sense. For others, returning to the office is a better bet. So, although Atlassian and Amazon have different workplace policies, it doesn’t mean that one of them is wrong – they both can be right. That said, in our data we can see some clear trends. One is that the ratio of spaces is changing. In hybrid offices, where people are working from home some of the time, people are more likely to use their office to collaborate, so there’s more pressure on meeting rooms. At the same time, open-plan areas and informal collaboration spaces - which were designed around everyone being together - having informal conversations, aren’t suited to Zoom meetings and phone calls. In our data we can see that very few people say they have enough space to collaborate (35%) or enough space to focus without distraction (23%). Both of these factors correlate highly with overall workplace satisfaction. And we’re starting to see organizations experiment with new space mixes, in some cases removing desks, in another cases designing an office that is almost entirely meeting spaces. The other trend that we’re seeing is amenities becoming more purposeful and less gimmicky. Prior to the pandemic, you had companies adding slides and ping pong tables as kitsch adornments to communicate how fun their workplaces were. After working from home, people are returning to the office with new expectations. They're not after playgrounds, they want an office that functions as well as their home environment. They want good coffee, the ability to find quiet when they need it, and they want control over where they work. This isn’t to say they want their office to look like home, but they want it to perform like home. In addition to all this, I think we’re starting to see more experimentation. Companies were pretty conservative in how they approached the workplace prior to the pandemic - adding astroturf inside was seen as subversive. But now the table has been flipped, many companies are starting from first principles, questioning why they had an office to begin with. Which I think will lead to more imaginative and inventive workplaces in the future. What do you think?
