I had a former colleague who would share their vacation time with the team and ALWAYS forget to make sure that their considerate notification did not inadvertently block off their teammate calendars. Since I was recently asked to write this up for my team, I thought why not share it here too. (you're welcome! 😂) ================= How to create an out of office event in Outlook that is considerate of your colleagues' calendars. Let's break down the steps to create an out-of-office event and ensure it doesn't block their time: Create an "Out of Office" Calendar Event to Others: - Open your Outlook Calendar. - On the "Home" tab, select "New Meeting". - Add a title for the event and choose the start and end dates. - To block out the entire day, click the "All day" toggle on. - In the "Attendees" group, select "Response Options", and clear "Request Responses" and "Allow New Time Proposals" from the drop-down. - In the "Options" group, choose "Free/Busy", and from the drop-down list, select "Free". - Add the intended recipients in the "Invite attendees" section. - Use the suggested text in your event message: "I will be out of the office from [start date] to [end date]. During this time, I will have limited or no access to email and may not be able to respond promptly. This meeting is marked as 'Show as Free.' Accepting it will NOT block off your calendar." By following these steps, your colleagues will receive a visual reminder without any impact on their own work schedules. Feel free to customize the message to fit your specific situation! 😊🌴. Started to schedule time blocks in my calendar - too early to say it's a 'gamechanger' but the walkies have been pleasant! Always felt that it's better to organise things than to tidy them - need a place for everything, so you can easily put everything in in its place, so about time to do it with time... If your calendar is stressing you out because it's too full, here's an idea... ❌ STOP booking in clients/work back to back! Remember that white space is your friend (yes, really!) And if you don't like white space, then schedule in periods of: 🔸down time 🔸you time 🔸outdoor time Whatever you like to call it, schedule it into your calendar in between client work so you always have at least 10 minutes to catch your breath, grab a cuppa or go for a quick walk around the block. It will give you chance to refocus and refresh, I promise! Use colours to make it easier to see what you have on each day, for example: 🔵 1:1 work 🟠 Group coaching/training 🟢 Admin 🟣 Downtime Oh yeah, also block off time for lunch too, so nobody can sneak a meeting into your calendar when you're not looking 😎 What tips do you have for managing your schedule? #calendarmanagement #googlecalendar

Don't eat tuna fish at work... Are you THAT person? It's not that difficult to be respectful: * Keep your calendar updated with PTO * Cancel meetings if you don't need them anymore * Let people know if you can't attend or will be late * DON'T schedule meetings that can be a quick call or DM to start with * Use slack or Teams or whatever messaging frequently but not too frequently * Have a backup plan, if possible, for when you're on PTO * Put an out of office message on email it just makes working together SMOOTHER and helps to get things done. Whether you work for a startup with 10 employees or a huge company with 10,000.. communication = success. So just update the calendar.. because it's annoying when you schedule calls and people say "Sorry I'm out that week." Be a good human. Office etiquette works PS: If you're in an office working, PLEASE don't bring the tuna fish sub or leftover fish for lunch.. Really.. Please..
