It's week TEN of 2% Better 💪 , the series where I highlight an operational improvement my team is implementing that's not world-changing but gives us a meaningful small efficiency gain. We'll be talking about meetings today, but with a twist! Have you ever had a meeting with yourself? I do it weekly, and it sets me up for success for the coming week. 📓 Summary: Every week, I schedule a meeting with myself, which is time for me to get my ducks in a row for the next seven days. I cover everything from planning for what my team needs to do in the coming weeks to personal and professional logistical things. This helps me be less reactionary during the week and make sure the things most important to me (like working out and dates with my boo, Trevor Harris, CPA) are already blocked in my calendar. 🌀 Background: Every week, there's a variety of small-to-large tasks that I need to do to ensure I'm going to have a solid week at work and in my personal life. Things like: *Does my computer have an upcoming software update? *Do I need a haircut? *What are my upcoming deadlines? *Are my workouts scheduled for the next week? *Have I looked at upcoming projects and made sure they're properly resourced? By meeting with myself once a week, I can knock these things out proactively (vs. in-the-moment panic). It also helps me be a bit more nimble for unexpected things during the week! 📈 Impact: 1.) Instead of context-switching in the middle of work, I can knock out logistical tasks all at once while I have a clear head, without panicking with questions like, "Oh, does my cat need his annual checkup?" on a random morning. 2.) Blocking things out the week before helps prevent meeting shuffling and keeps folks from booking over things. 3.) Checking in before the business of the week makes sure I'm prioritizing what matters most, instead of letting my calendar fill up with things that feel important but might not drive towards my bigger goals. Its that time of the year when people are headed out for family holidays. How can small businesses ensure that work does not get interrupted, without bothering the employee on their holiday? There’s only one way - build systems. As one of my employee at 26Tech headed out for her 2-week holiday, here’s what we did. 🗓️ She informed me as soon as she planned her travel. This usually means that we know weeks in advance when someone is not going to be available. 📚 Two weeks before she left, she “stock-piled” all her work. She worked on the tasks that had a deadline during her holiday and completed them in advance. 🤝🏻 The week she left, she highlighted all the tasks that needed to be done by someone in her absence. I assigned those tasks to the relevant person. 🎯 The day she left, she cleared out her task list in Asana (the productivity tool we use). This way I can keep track of which tasks are coming up during her absence. Just as we streamlined our team's workflow, I can help you build a robust system for your marketing as a fractional CMO.
