Will be a plus: Experience of Personal Assistant/Administrative Assistant/Operations Manager Will be responsible for: Create presentations for team meetings; Create, own and control boards in task management tools (such as Jira) for evident, well-structured and efficient resolution; Provide support at the industry events and business/personal trips (booking tickets, hotels, restaurants, passes, search and rsvp for industry-related events, plan routes and schedules), taking into consideration personal preferences of the task-owner; Assistance with personal inquiries (such as scheduling/rescheduling appointments, organising delivery etc); Manage supervisor’s schedule (timings, schedule, deadlines); Assistance in preparation to the events (communication with vendors, gathering and analysing the information, doing comparative analysis, making orders, tracking the deadlines, assisting in setting up meetings, onsite control); Participation in meetings (calls) to take the meeting notes and transform them into action items, write follow-ups and track fulfillment of these tasks and follow-ups within the deadlines set; Synchronise multiple team members for timely task resolution, if required; Fetch and analyse trade reports from our platforms and present them in a clear and easy-to-grasp way. Store them accordingly for prompt access to the information in them; Conduct surveys, collect feedback, proactively initiate changes and improvements to the existing processes and approaches; Process large volumes of information from multiple sources, analyse and summarise it in a clear way with specific and well-structured items, deep understanding and ability to present it; Assistance with HR such as organising team-buildings/trainings and other activities for the team together with team leaders; Proactively solve tasks without waiting to be told so (based on the fundamental knowledge of the processes).

If you’re looking to hire a Virtual Assistant (VA), to help with your routine admin and business tasks, should you hire someone based in the UK or overseas? Of course, there are many highly skilled and talented VAs in countries such as the Philippines or India, and they’re cheaper to hire. But consider these points first: Time Zones How important is it that your Virtual Assistant is in the same time zone as you? For example, if they’re based in the Philippines, 7 hours ahead of you, does this cause you any communication issues? If you know there will regularly be times when you want to speak with them directly in the afternoon UK time, will it be frustrating to you when they’ve switched off their laptop for the day? And what about if their work means they deal directly with your clients? If your VA is making appointments for you, how quickly can they respond if one of your clients wants to make a last-minute change to the time of the meeting? Language No matter how good your Virtual Assistant’s spoken English is, if it’s not their first language, their written word may not grammatically be to the standard you require. Although you can always edit their work (which takes up more of your time), does any of their work go directly to a client? If a client consistently sees poor grammar from your company, it’s not going to do anything for your credibility. For many people, hiring an overseas VA is the right thing for their business. Not only are they highly skilled and talented, they also have a great work ethic. We use an overseas VA ourselves for the design of our marketing materials, and the ‘techie’ side of our digital marketing. As always, there are pros and cons to everything. So, if you are looking to hire a VA, it’s worthwhile to bear these points in mind.
