Don’t skip this step if you want to organize smoother hybrid events: 👉 Make your dry run a 1:1 copy of the live event. We all know that a dry run is required to ensure any hiccups and potential points of failure for your events are mapped out and preferably resolved way before the event starts to ensure smooth sailing during the event. However, what good is a dry run if you’re not testing it on location with the same set-up, speakers, and team that will be involved on the day off? Look at these examples to see why: 🤦♂️ The fact that your personal Windows laptop and home Wi-Fi work doesn’t mean that your Apple MacBook and office Wi-Fi work as well. 🤦♂️ The fact that your speaker has a professional microphone and camera set-up in their studio means nothing when they decide to join by phone in their car for their session (yes, this still happens). 🤦♂️ The fact that your tech-savvy professional can manage all that’s going on simultaneously doesn’t mean that the intern you’ll be using on the day itself will be able to. Things can always go wrong, but the closer your dry run is to an exact 1:1 of your event day, the fewer unforeseen problems and stress you’ll have to deal with.
The event dry run is so critical for all types of events. Esp Hybrid. Its all logical, but am glad you pointed it out Merijn van Buuren
Everyone loves a prepared speaker. This includes being prepared to present especially in remote environment. Dry runs are so beneficial to get speakers prepared. You can check their tech meets all specs, their office space is functional, they have content downloaded to their device, and that you all understand how it will work day of. Like you said, you can also get your event staff ready so they aren't the ones asking questions on the day of. Overall, makes for an easier execution when everyone has aligned at the dry run!
I recommend doing the dry run the morning of. Most venues charge you for an additional day so you avoid cutting into your budget host it the morning of your event or the set up day if that day is the day before. I’ll admit it is not always easy or possible to do a dry run based on the time your event starts.
