The Ostara System establishes a culture of paying for completed work using automatic cost calculations based on contractor rates and time on-site. The Ostara Mobile App validates engineers' attendances to sites, while proprietary Bluetooth technology can replace QR codes for more accurate data. Further cost control options include replacing fixed cost quotes with estimates based on agreed rates, time, parts, and miscellaneous costs, acting as a ceiling for costs rather than a fixed amount. This then works alongside the check-in and time on site processes cited earlier, resulting in the client only paying for actual time spent and parts used. Customizable authorisation rules allow for a flexible approval processes, with single or hierarchical structures, based on a range of conditions. At all authorisation statuses there is functionality for spend value comparison to a budget. However, it is clear to Ostara that it is not just client expenditure that proves costly, but also the client’s manpower. An automated invoice validation process reduces the burden of invoice review, while legislative compliance reporting identifies actual compliance levels and PPM needs, based on what clients should have, not just what they have. One of the key advantages of CAFM Systems is the ability to systemise and reduce client administrative input. However, this should be accompanied by a level of client oversight and review. Ostara's built-in auditing process allows clients to audit invoices based on specific criteria and sample size. Finally, one of the key applications and benefits of a CAFM system is client ‘buy in’ to the process and world of maintenance. Ostara’s self-service portal and mobile app enhance client involvement and job information capture, improving the maintenance process. Since its roll-out it has shown real and measurable benefits and has had a marked impact on the workload and assurance of our operations team. "We can now raise issues whether large or minor, almost the instant they are spotted. We can denote the priority with which they need to be tackled and track the progress of works to rectify them. It has reduced almost completely the need to be directly contacting people to resolve issues, which was an almost daily occurrence. It has been obvious that the streamlined approach that it provides helps in prioritising works for maintenance teams and contractors, gives them plenty of detailed information as to the exact issue and has given us an evidence base to show that issues are resolved in a consistent and effective timeframe. Facilities Management Insight # 01: Delivering Facilities Management Services and managing FM Contracts would be a lot more seamless if your mobilization is more efficient and well-organized. Key things to remember when mobilizing: 1. Fulfilling and comprehending the demands and anticipations of the clientele. 2. Carefully reading over and comprehending the terms and conditions of the contract. 3. Accepting and reviewing project handover paperwork, such as asset registers, warranties, O&M, T&C reports, and, if available, CAFM data. 4. Physically taking over a facility from the current service provider; this may involve asset marking and verification, snagging and early conditional surveys, and shadowing. 5. Configuring the CAFM systems, including the upload of the asset register, the PPM configuration (frequency and steps to be carefully followed), the virtual store setup, the Service Level Agreements (SLAs), the Workflows for PPM and Reactive Tasks, the Performance Management System (PMS), the Upload of all snags and the generation and submission of remedial quotes to the customer, DLP & Warranty Management, and Priorities. 6. A just estimate of the number of manhours needed based on the asset count and their locations, the personnel deployed in accordance with that estimate, and their strategic distribution throughout the plant for maximum efficiency. 7. Take note that scope agreement is important here, as it is based on contractual duties, locating and choosing qualified vendors, and setting up AMCs for specialized services. 8. Identification of Critical & General Spare parts, Consumables, Tools and Equipment necessary to deliver the contract meeting the SLAs and selection of suppliers (ideally the OEM / Authorized Dealers to assure quality and minimize cost) and sourcing. 9. Establishing a help desk or customer support department, as this will serve as your primary point of contact for customers. 10. Begin the customer meeting and thereafter service delivery process, and you're done! 😉

Facilities Management and Operations Assessment, when did you have one done? Never had one? You are not alone! Providers of third party Facility Services do them to verify that they are fulfilling their contracts with their clients. Their clients value the third party data as a means of building the relationship with their FM supplier. But what about companies that have their own Facilities Management departments? How are they performing against industry standards? Are there gaps, missed preventative maintenance items, inspections? Are staffing levels adequate for your type of facility? Data is king today, being assured that your FM software weather CMMS, IWMS or something else is being used to the full, that all maintenance, repair, inspection is being logged against a specific piece of equipment. Do you have warranty data in? Have you scanned or downloaded manuals for each piece of equipment? Are you able to look at that data via mobile devices? What is the average response time to a typical work order? To an emergency work order? The questions are endless, and they all play a part in our being stewards of sustainability. That data if accurate is valuable for ESG reporting. As a consultant, suddenly I have been receiving multiple RFQ's for these services, why? It makes economic sense, efficiently operated equipment costs less to operate, meets or exceeds its life expectancy meaning postponement of Capitol Expenses. It makes sustainability sense since less power is being used by efficient equipment. It makes investors happy since it benefits ESG reporting. Think about it, the more eyes on an operation, the fewer things slip by, the more efficient we can be.
