Is Procurement Killing Creativity in Event Planning? Let me share something that’s been frustrating in our industry. Most RFPs or RFQs we receive from procurement teams follow a predictable pattern: They’re mass-sent to dozens of agencies. There’s no opportunity to have a proper discovery meeting to truly understand the project goals. And 9 times out of 10, it’s just about collecting competitive quotes—often when a vendor has already been finalized. As a result, great agencies that could deliver better value and innovative solutions are often overlooked. The client misses out, the process wastes time for everyone, and the final outcome rarely delivers the full potential. Studies show that public procurement RFP processes alone take an average of 57 days from posting to award, with pre-planning and requirement gathering adding even more time. On the vendor side, inefficiencies in communication and response handling further contribute to lost hours. Here’s what I believe needs to change: 1️⃣ Be selective: Shortlist vendors based on expertise, past work, and alignment with your goals. Mass RFQs don’t benefit anyone. 2️⃣ Encourage discovery meetings: A 15-minute conversation can uncover valuable insights and ideas. 3️⃣ Focus on value, not just price: Cost is important, but the cheapest quote often misses the bigger picture. What matters is the outcome. No matter if a company may offer their cheapest price, for a client its always high. I have in my entire career never closed a deal or heard from a client who has ever said "Oh this price is so cheap or valuable, we will go ahead with you." even when I have offered the best price possible and probably the cheapest. If there are no objections, means you will not make the deal. Fact!
