The Joint Association Mixer (JAM) is a collaboration with National Speakers Association Northwest (NSA NW), Meetings Professionals International Washington State Chapter (MPIWSC), National Association for Catering and Events (NACE) Greater Seattle Chapter and Tacoma-South Puget Sound Chapter, International Live Events Association (ILEA) Seattle Chapter, and Wedding International Professionals Associations (WIPE) Seattle. 💡 𝐇𝐨𝐰 𝐌𝐮𝐜𝐡 𝐏𝐫𝐨𝐟𝐢𝐭 𝐖𝐢𝐥𝐥 𝐈 𝐌𝐚𝐤𝐞? 𝐀 𝐃𝐞𝐭𝐚𝐢𝐥𝐞𝐝 𝐁𝐫𝐞𝐚𝐤𝐝𝐨𝐰𝐧 𝐨𝐟 𝐑𝐮𝐧𝐧𝐢𝐧𝐠 𝐚𝐧 𝐄𝐯𝐞𝐧𝐭 𝐚𝐭 𝐌𝐂𝐄𝐂 💡 A few people told me $167 for an event ticket seems expensive and wondered how much money I make. This video breaks down the cost of running the event. Spoiler alert: it's around $175 per person and counting, as expenses keep going up. Most event organizers have upsells, but I don’t have anything to sell at the event. This is a pure passion project to bring people together and celebrate a great milestone. 💜 So, there you go! Time will tell if it's a smart or silly move...... 😁 P.S. I filmed the video yesterday, but since then, we upgraded the food menu, so the food cost is now $27,600 instead of $20,180. When you think about all the things that could go wrong in an event, well, you might panic. That's bad; let's not go there. But if you (calmly) anticipate potential issues that you can work to prevent, you'll set up yourself and your team for success later. Some of those hazards are 1) going over budget 2) missing/late/ineffective vendors 3) bad speakers 4) lost or confused attendees. Budgets are challenging and need to be reasonable, but one way to get the most out of your money is to work with your bigger ticket contracts on concessions. If your venue is hotel event space where your guests will sleep, eat, and participate in activities all in the same location, there is more wiggle room for discounted food and beverage, comped sleeping rooms, and free parking. For vendor selection, consider moving slowly if it's a company you don't already know well. Ask for references, create contingencies, and decide who you trust, not only who has the lowest bid. Nothing deflates energy faster than a dry and boring speaker. Provide clear expectations to all presenters, and help them craft engaging talks. Finally, don't skip the signage! Unless you have the staff to direct attendees at nearly every turn, you will need more signage than you think. There are no perfect events, but the more you can anticipate, the less there is to worry about when it's move-in day.

The life of an event production professional can be tough. Long days and short breaks are the norm, but taking care of ourselves is essential. However, it's not always easy to balance our needs with the demands of the industry. Our clients expect us to be on call all the time, even during meals and breaks. As event organizers, please remember that your production team is made up of humans who need both meal and bio breaks. It's no longer acceptable to run sessions for five hours straight without giving attendees or crew a chance to rest. Meal breaks and short breaks throughout the day are not just a union requirement, they're essential to keeping your crew fueled and focused on delivering high-quality service. Attendees used to be comfortable attending sessions from home in their pajamas a few short years ago, but now they want a chance to stretch their legs and refresh themselves too. Please don’t forget about your crew's basic human needs when planning out your conference journey. Squeezing in micro sessions or rehearsals during every tiny break opportunity can take a toll on our team. Do your production team a favor and keep their basic needs in mind when creating your agenda and run of show.
