When you’re scouting out a venue for an event, what do you need to think about in terms of practical arrangements? Here’s our top tips; You’ll have a budget for your event and you need to stick to it. So when you’re sussing out the best location, check what’s included. You might have to pay for wifi access, or for furniture, and the smaller stuff can quickly add up. 💷 Before you agree to any venue, ensure that it comfortably fits all of your attendees in the format that you are looking for. Sit down meals will require more space than finger buffets, for example, so the room layout is a crucial factor. 🪑 It’s key to check the venue’s facilities. Will you need audiovisual equipment? Do you need parking? Will you need on-site catering? It’s important you make sure the venue has everything that you need before your planning goes too far. 📣 Not all venues are accessible for everyone so you’ll need to find out if there is wheelchair access, along with ramps, elevators, and accessible restrooms. You’ll need to establish if there are hearing loop inductors. Venues with greater accessibility can help your guests feel welcome no matter their abilities. ♿︎ Then, before you sign on the dotted line, make sure the venue’s terms and conditions are suitable. Today, I want to share a simple checklist. It’ll help you organize any small gathering for family and friends. 1. Clearly outline the purpose and goals of the event 2. Set a budget for the venue, vendors, marketing, and other expenses 3. Establish a timeline with key milestones from planning to execution 4. Set deadlines for tasks such as venue booking, vendor selection, etc 5. Research and visit potential venues that meet your requirements 6. Consider factors such as capacity, location, amenities, and cost 7. Secure vendors for services like catering, audiovisual, and decorations 8. Obtain quotes, negotiate contracts, and confirm arrangements 9. Arrange transportation, parking, and signage for the event 10. Set up a list of guests, and seating arrangements 11. Send out the invitations 12. Plan engaging activities 13. Ensure all preparations are in place on the day of the event 14. Coordinate with staff, and vendors to manage logistics 15. Follow up with thank-you notes. Sharing a venue find hack that I used to find a hidden but perfect venue option recently. I love the phrase reverse engineering and I think it's sort of appropriate to this venue find! Brief: Corporate Christmas party, circa x 400, standing, live music 🎄 Within walking distance of London City office. Plus other details that made this brief quite specific. There were some obvious venue contenders, but nothing had that "OMG I've nailed it" feeling. I aim to get that feeling for every brief. 💗 Look at it backwards. In addition to the other, more obviously suited venues, two hotels stood out, but in each, their largest function room was just that, large enough. No wow factor, no Corporate Christmas party packages on their websites, no obvious reason to dig deeper, every reason to move on and ignore these two venues. However! Here are two HACKS for you .. Search the name of the hotel plus Christmas party (this will show up the venue's own packages if they have any, BUT IMPORTANTLY any third party companies offering joiner or exclusive use party nights). Speak to your contact at the hotel/venues and ask if there are any event management companies offering joiner or exclusive use party nights at their venue. Or just drop me a line ... I specialise in venue’s for events.
