Housemark presented at Housing 24 on their recent Tenant Satisfaction survey. For the 5th consecutive year satisfaction is down, from over 80% at the start, to now 69%. There is a real need for the sector to address this, using the information they hold on customers to enhance the services they offer them. As the Ombudsman has said ‘Better use of data is the closest thing the sector has to a silver bullit’. The Challenges of Traditional Service Charge Management Many housing associations still use fragmented systems - primarily Excel spreadsheets - for managing service charges. While spreadsheets have been the go-to tool for decades, they introduce significant challenges, particularly for large and complex organisations. Let's outline some of the challenges of this... 🟪 Data silos: Spreadsheets typically operate in isolation from other systems, such as asset management, repairs management and or finance tools. As a result, housing associations struggle with keeping data accurate and up to date across multiple systems, this also increases the risk of inaccuracies, non-compliance, and regulatory problems. 🟪 Inaccuracy and errors: Human error is a constant risk with manual data entry. Something as simple as a misplaced decimal point or incorrect formula can cause discrepancies, which can then spiral into larger financial issues over time. 🟪 Time-consuming: Spreadsheet-based service charge management is often slow and labour-intensive. It takes considerable time to compile, cross-check, and verify data, meaning adjustments or budget updates are delayed. 🟪 Lack of governance: Without automated workflows or approval processes, it is difficult to ensure proper oversight. There is often no formal process for managers to review calculations before they are sent to tenants, which can lead to costly mistakes. 🟪 Compliance risks: Disconnected spreadsheets and manual processes make it hard for housing associations to stay compliant with regulations, leading to increased risk of tenant complaints, referrals to the ombudsman, or scrutiny from regulatory bodies. In the worst cases, these inefficiencies and errors result in financial shortfalls, where housing associations are unable to recover the full cost of services provided to tenants. For some organisations, this can amount to millions of pounds in lost revenue—money that could have been reinvested into the housing stock or community services. Thanks, Victor Lund , for helping bring more awareness to this important deadline. 2.0 is a huge step forward for MLSs. Normalizing MLS data has long been something we've had to do internally in order to provide our multi-market clients a single search interface with more advanced filters than typical IDX sites. Our backend team led by Jake Thompson and Bryan Burgers has been perfecting this process for years. This year, it occurred to us that we could easily make the normalized data available back to the originating MLSs via an API, should they desire it. These feeds can also include aligned data from multiple MLSs who authorize a datashare. Our first 2.0 certification came through last week, with more to come. That means in any MLS where we currently service brokers/agents, in a matter of minutes, we can give that MLS a 2.0-certified API upon request of the MLS. And we can do this for brand new MLSs in 3 days or less. We'll be showing a behind-the-scenes of our process on stage tomorrow at the RESO fall conference.

In the recent #housemark #cx club meeting Verity Richards (CIHM) Head of the Duty to Monitor at the Housing Ombudsman shared some research they had completed, 🖊️ Tenants feeling like no one cares or understands their situation 🖊️ Landlords having a lack of resources and not being listened to in their own organisations 🖊️ Agencies not responding to required repairs 🖊️ Call centres are challenging for all 🖊️ Lack of resources 🖊️ Lack of human contact 🖊️ Tenants don’t want to talk to computer generated messages as they don’t feel heard 🖊️ Lack of local knowledge to the people they speak to There were a number of key themes that cut across the whole survey of which #communications is significant - externally, internally and between groups. Any organisations looking to refresh their focus, update their insight, or reach out to customers more effectively are likely to find that their communications are lacking. In order to drive appropriate communications and #engagement activities, #stakeholdermanagement needs to be thought through carefully. Some tips: • Be proactive, not reactive • Consider the influence and impact each stakeholder has on the success of what you’re seeking to achieve (both short term and long term) before you start. • Step back and ask: What do we already know about the stakeholder? What does this tell us? What has been said elsewhere about our work? • For a given stakeholder, consider what are their needs, issues and problems that may stir up an emotional response what’s most important for them? Think about how you will handle this • Try to prioritise your stakeholders to ensure time, effort and resources are well managed. • Bring together stakeholders by areas of common interest and seek ways to approach them that have worked well before. • Ensure that the insights and data gained as a result of engagement are used to help risk and programme management and governance reporting • Put yourself in the shoes of stakeholders you work with what do they want?
