An inside look into how we design our community events to be inclusive and accessible from our community founder!

For several years now, I've made a conscious effort to design inclusive and equitable practices as often as possible into gatherings, workshops and events that I run. After much experimentation, I'm eager to start sharing some tips on this (although my learning on this is an ongoing journey!). Now, this work requires quite a bit of planning and the breaking of old habits (and creation of new ones). But the impact (as shown in the feedback snapshot below from yesterday's community event in the Inclusive Design Jam) is well worth the extra effort. Today, I want to highlight one practice that cuts across a few of these: providing multiple modes of participation. Sometimes, virtual gatherings are designed around a single tool (e.g, a Mural or Miro board), Zoom feature (e.g., poll questions) or mode of participation (e.g., verbal discussion only). This can create access and participation barriers for many folks. It can also generate discomfort, frustration and the feeling of not belonging in the space. Here are 4 concrete things we did in our session to break through this: 1) We encouraged folks to show up and participate as they desired — and communicated that ahead of time (for example, "you can lean in and actively participate or step back and follow along quietly"). This was emphasized at the start of the session. 2) We provided two workspaces for activities: a Mural board for those comfortable with a whiteboarding tool and a screen-reader friendly Google Doc. The doc was mostly text base, with alt text provided for all visuals. Content was copied and pasted between the two workspaces to the best of our ability for parity. 3) We provided instructions in the chat for every discussion prompt and activity to allow folks to contribute via the chat in case they are unable to access the tools. 4) We collected access needs ahead of the session in our registration form to ensure that we put accommodations in place for those who may face barriers in participation. There's more than we could do, of course, but these practices (amongst others) helped to contribute to a more accessible and inclusive experience.
