To retain brand voice while working with external agencies, I begin by communicating clear brand rules such as tone, messaging pillars, and audience insights. I also urge open contact to answer any questions and ensure uniformity in all outputs.✌🏻

Collaborating with external agencies can be like a game of telephone, with your brand voice at risk of getting lost in translation. Here’s how to keep it loud and clear: 1. Set the Stage: Start with a detailed brand guide. Share it like it’s the holy grail. 2. Communicate Continuously: Regular check-ins aren’t just for hospitals. Keep the communication flowing to ensure everyone’s on the same page. 3. Be the Brand Ambassador: Appoint a brand guardian—a.k.a. you—to oversee all communications and ensure your brand voice doesn’t wander off like a lost puppy. Remember, clear guidelines and active involvement ensure your brand sounds like itself, even if someone else is holding the mic.

It is very important to establish strict rules and guidelines as far as working with external agencies and their involvement in promoting your brand is concerned. Do not fully rely or be dependent. Be involved in the routine tasks and do a quality check for example social media content before it is posted online. This is important because external agency personnel do not know your organisation, you do. You know its culture and ethos because you are physically and mentally present in it unlike external agencies and personnel that you work with. Your presence and involvement are crucial to keep your brand voice intact. Insist on consistent use of content style, brand guidelines, font typeface, brand colours, etc. in all communications.

I have had the fortune of working on both sides of the business. Following are my recommendations: 1. Define and Document: If not already available, create a comprehensive brand style guide that outline tone, messaging, and visual identity to serve as a clear reference for external agencies. 2. Collaborate and Educate: Invest time in onboarding agency teams, ensuring they understand not just the "what" of your brand but also the "why" behind it. 3. Set Milestones for Alignment: Establish regular check-ins and creative reviews to provide feedback and keep work aligned with your brand voice. 4. Empower with Supervision: Allow agencies creative freedom within well-defined boundaries to maintain consistency without suppressing innovation.

To keep our brand voice consistent, I’d share clear guidelines, communicate openly with the agency, and review their work to make sure it matches our style and message. Regular feedback helps keep everything on track.
