Allow team members to work during their peak productivity times, which might differ according to their personal and regional preferences. Defined Core Hours: Establish core hours during which everyone is expected to be available. This facilitates real-time collaboration and can help in scheduling meetings that are convenient for the majority of the team. Clear Communication: Use clear and concise communication to ensure everyone understands their tasks and deadlines. This reduces the need for constant follow-ups and allows team members to work independently.

Setting tangible goals and allowing for collaboration. Looking forward to the end result and explanation shared with others on the paths that led to the success. Delegating tasks but also doing check-ins with the entire team where there is full transparency on progress towards deliverables. Focusing on time zones is often pointless unless it directly reflects the specific responsibility within the team assigned to one person. As long as KPIs are met, the team operates within desired optimizations.

Our small 50-person team works around the clock in 7 different time zones on three continents, mostly remotely. The key to making this work is extremely clear communication, and defined processes which can be self directed without micromanagement. Smaller, quicker huddle meetings are important when it is so disruptive to gather all hands together due to time zone challenges. Above all, there needs to be a tremendous amount of open respect for each other’s time, and the schedule flexibility that comes with that respect.

Microsoft teams or Google Workspace can facilitate real-time collaboration on projects.

Project management platforms like Asana and Trello add transparency, enabling team members to track progress independently. By empowering each member to own their roles, everyone stays aligned and productive, even asynchronously. Regular check-ins and feedback help address challenges early and foster team connection, creating a culture where productivity thrives across any location.

The main principle we follow is the overlap hours between teams. We set 3–4 hours when all teams should be available and can solve issues. - Empower self-management. Trust the team to manage their time and work. - Setup daily/weekly meeting with business so that everyone will be aware of what is going on in a project. - Plan ahead. Schedule meetings and deadline discussions well in advance so remote team members have time to adjust their schedules. - Record KT sessions or imp. meetings when possible. This allows remote team members to catch up on what they missed. - Set up occasional video calls to build connection with team - Tools like Jira which allow team members to see tasks, updates and progress made outside their working hours

One of the top things to consider is clarity and transparency among the team. Team needs to have the following: * Clear objectives and vision of product / service development strategy and plans. * Clear zones of responsibilities and roles. * Clear expectations towards commitments, execution, goals, deadlines and deliverables from the management. * Clear dependencies and processes. * Clear and syncronized file storage system. * Clear and systematized project management and knowledge sharing environment. * Clear and up-to-date progression information so that everyone knows the stage, state and next steps. There are more aspects, but these I see constantly missing, especially in fast growing teams and businesses.
