To effectively manage conflicting schedules, prioritize meetings based on their urgency and potential impact. Focus on time-sensitive matters or meetings involving key stakeholders that could lead to important decisions. Communicate with participants to adjust times where possible, ensuring expectations are clearly set for any changes.

I encountered an issue with a prospective client at my previous company. We've had been trying to secure this contract for a while. The client agreed to close the deal at a specific time, but that slot was fully booked. Recognizing the importance of this opportunity, we immediately made calls to reschedule the other appointment set for the same time. After all, this deal was a top priority for the firm. When it comes to rescheduling meetings, it’s crucial to assess both priority and urgency. Striking the right balance ensures that critical opportunities are not missed while maintaining professionalism with existing commitments.

I prioritize rescheduling meetings based on urgency, importance, and overall impact. High-priority meetings that involve critical projects, decisions, or deadlines take precedence and stay as scheduled. If key attendees are unavailable for a particular meeting, I’ll reschedule it to ensure everyone who needs to be there can contribute effectively. I also consider the overall impact of rescheduling - meetings that cause minimal disruption to others are the first to move. Throughout the process, I make sure to communicate clearly with all parties and offer alternative times to keep everything running smoothly.

Making the decision is mostly, if not almost always, on a case-to-case basis. Determining which meetings to keep and which to reschedule depends on many factors. We need to strike the right balance of the various aspects and parts of the meeting: purpose and value or impact, urgent vs important, seniority and schedule of stakeholders, availability of venue, etc.

Recently, I had to schedule a meeting between Zurich, Pune, Los Angeles and New York City. Different time zones always create conflict. So, what I did was look at a time that worked for the time zones and then I compared that time slot with the calendars of the attendees to see which day aligned with the time.

When juggling conflicting schedules, prioritize meetings based on urgency, importance, and impact. Reschedule those that are less time-sensitive or have lower stakes first, while keeping high-priority or critical meetings intact. Consider key stakeholders' availability and whether rescheduling could cause significant disruptions. If necessary, offer alternative times early to ensure flexibility and maintain productivity.
