When dealing with situations I find it helpful to remain calm and take picture of the damage and contact vendors for quotes at least 3 to submit to my asset manager taking estimate time of arrival and completion into account. Incident reports are completed and if damages involve any residents I am sure to have the resident complete an incident report within 24hrs and add the information to their resident profile.

Communicate with Tenants: Keep tenants informed about the situation and repair timelines. Transparency builds trust and reduces frustration. Prioritize Repairs: Identify what needs immediate attention for safety and habitability, and promptly contact professionals to address the issues. By following these steps, you can navigate the situation effectively and protect your investment.

Maintaining a "What's next" mindset is a deal breaker for Property Manager/Facility Manager. Maybe consider the below 1- Refer to your disaster recovery plan, risk register, and ERP (depending on the severity of the damage) 2- Must have skilled specialists on speed dial to contact where needed. Must always be aware that properly assigning each corrective action to the right person in a timely manner is essential 3- Prioritize health and safety of people/assets/environment. And take the right preventive action immediately. 4- Last, keep record, root cause analysis, lessons learnt, and properly update your risk register and also update the assets inventory for lifecycle plan purposes (either asset is replaced or maintained)

When the damage is reported, make sure you get all of the information from the tenant, visit the property to inspect the damage so you can assess it and take photos for evidence. Either inspect with a contractor who can repair the damage making sure you know timelines and cost and inconvenience to the tenant if applicable. Or have the contractor visit separately to provide a full report. Report to the landlord with all information and consequences and get authorisation for the job to be completed asap. In this situation communication is key and taking control of the situation.

When you have a crisis on hand, always keep your cool and stay focused to ensure as much information/data is collected: 1) Assess damages & document necessary information while taking pictures 2) Contact appropriate and necessary internal & external, third party vendors to schedule site visit to review damages, request appropriate remediation costs (short term - immediate temporary repairs) and once insurance file has been agreed upon, repair work can commence shortly afterwards 3) Communicate with your insurance company to open file and schedule meeting with adjuster to assess damages 4) Find root cause of damages which occurred 5) Ensure proper management of file is processed 6) Always stay in control

Stay calm take pictures tons of them just in case. Contact insurance company yours, get quotes, don't let anything slide, contact insurance company theirs too. Just in case not covered by their it's covered by yours. CYA
