When IT systems go down for an eternity, it’s a test of both patience and creativity. First, embrace the chaos with some humor. Second, pivot to team-building distractions. These remind everyone that disasters are temporary, and fellowship is forever. ✌🏻 On a more serious note, transparency is key. Keep the team informed with regular updates, even if the updates are just, “We’re still doomed.” Assign small, non-IT-related tasks to maintain some sense of purpose. Most importantly, lead by example: stay calm, positive, and sarcastic enough to make the frustration bearable. A little laughter goes a long way when everything else is crashing and burning.

At the same time, I keep the IT staff motivated by acknowledging their efforts, offering strategic guidance to overcome challenges & ensuring they have the resources & support needed to succeed. By fostering a sense of teamwork & purpose, I help both stakeholders & IT staff remain focused & resilient until the systems are fully restored.

Personally, in such situations, I’ve found that fostering a sense of togetherness is key. Open, honest communication reassures everyone that they’re in the loop, reducing uncertainty. Encouraging light-hearted moments, like a casual team chat or shared meal, helps ease tension and strengthens bonds. Recognizing individual contributions—whether through a simple “thank you” or a small gesture—reminds everyone that their efforts matter. Most importantly, leading with empathy, understanding the stress they’re under, and showing genuine care goes a long way in maintaining morale during tough times.

From my experience, it is how you build camaraderie and relationships with your team and having the same unequivocal goal in mind. There is a sense of urgency and the need to deliver although we know each and everyone is already maxed out, but there is that level of adrenaline rush that keeps it going. A bit of fanfare but still focused at the task on hand have been rewarding. I encountered this at least 5 times in my career and it is just exceptional what highly-engaged people can accomplish without judgment or rebuttal.

In my experience, using these strategies combined with transparency about the situation can make a significant difference in how teams weather IT downtime. What’s crucial is that everyone knows we are in this together, and that their contributions matter even during challenging times. As long as we are solving and doing our best effort to manage the task on hand, that all matters. Other things out of our control will be fine. Just trust the process and be stay focused.

The best thing to do in this situation is to communicate honestly and openly. Use your BCP to get the information available out in the most efficient way possible. Acknowledge the frustration and be empathetic. Make sure to update as information becomes available or on agreed upon intervals, even if the update is a solution is still being sought. Users and management will appreciate the open communication. In addition, keep your demeanor as positive as possible. This will keep spirits up and morale on a decent level.
