Everyone needs to use it & keep it updated or it will fail. Back in the day, how many calendars & time keeping systems were half full in January & then sporadically used the rest of the year. ALSO be warry of tools that allow the customer to see the process of making sausage! YES "transparency" & "open communication" is important with the client, but the client does not need to see the process. This trust built outside the work environment can then be translated within the remote work environment.

"What strategies can you use to keep virtual team members on track?" Just about everything I've read here applies to co-located team members. If anything, bad leadership in person only gets amplified if someone is virtual. A lesson I think worth considering: our team members can feel more invisible than we realize--regardless of proximity. They're in the meeting, but they don't speak up. They have ideas and insights but we don't tap into them. What if we assumed both our virtual and co-located team members are at risk of feeling invisible, at least a times? I think we'd manage differently.

In my Experience as a Project Management Professional I can add that, To effectively manage virtual team members: 1. Clearly define project goals and expectations. 2. Maintain regular communication through video calls, chat platforms, and emails. 3. Provide frequent updates on project progress and changes. 4. Manage the work not the people. I know that sounds simple, but it's a very important concept. Trust your team to deliver. Give them room to explore different options and ways of accomplishing what needs to be done. Also pay attention to the types of metrics you are using, inevitably your team is going to pay attention to them too. You don't want people to be more worried about the amount of story points they have racked up, for example, versus the more important aspect of the project/team goal.

I prefer weekly touch points to send and receive information to make the minor adjustments and latest information flow in two directions, with transparency and the ability to clarify understandings. It really is simple, authentic and builds honest and Authentic leadership relationships.

Create a sense of ownership for the virtual resource. Often times, virtual/remote resources are made to feel like ‘guests’ when the team also has resources joining office, which is most projects now. Please avoid that, and ensure that those resources are engaged at all times at par with the onsite resources. As much comfort it provides, virtual/remote work can be depressing due to lack of physical human interactions, and that is the root of detachment and impact to productivity. Engaging those ‘real’ human beings, now far away from workplace, into every activity, work or fun, even if taking place onsite, makes them feel valued & happy. Make them owners of such activities, act upon their views and opinions, and you will see the difference!

Encourage team members to pair up as accountability partners. They can support each other in staying on track, share progress updates, and address challenges collaboratively.

Touchpoints are also important. How regularly they happen will depend on the team and the urgency of the project but they can be done daily as a quick 15 min virtual stand-up or even weekly check-ins.
