I think that the top priority is getting the contract right in the first place, but this is not easy given that there is probably a long list of unknowns, assumptions and competing objectives... I would say the next 2 things would be about governance and communication. Governance means that there is a structure in place to review the outcomes and give feedback, while positive and collaborative communication reduces the risk of drawing an 'us v them' position, which is unhelpful when trying to deliver anything to a predefined schedule and of genuine value and quality.

Maintain good relationship with OEM and vendors to keep you sourcing process smooth.

Basically, never accept the default pro-vendor contract terms as they are one sided, instead make them balanced and that should work for you and save time and have crisp remedies to shape rapid issue resolution.

According to me, it needs to be both sided - 1. Partners experience of working on the assignment and if any concerns they have. Sometimes, these inputs are helpful to make certain changes and developments. 2. Collect the feedback from internal stakeholders on given parameters and convey it to the partners. It may be case-to-case basis, but I would prefer it to be on monthly/quarterly/half-yearly scheduled. It not only to let the partner know about their performance, it also builds a strong relationship with the partners.

Communication is the key point of any business relationship. Communication has to be transparent and efficient. Sometimes suppliers hesitate to write their concern on mail so we can set regular call with them to understand the things better. Being an understanding customer we should develop a healthy relationship with suppliers by using above mentioned means.

That's the tough part of a successful contract. Naturally each organization has its own culture. I usually recommend my friends to use written methods such as email and proceedings for feedback management.

Part of my job is to audit supplier's quality issues. For this evaluation, I prefer unplanned meetings because they get the point that quality monitoring should always be the same. Conducting a formal meeting might happen once or twice a year where we need to audit suppliers with the whole team

First of all, effective CAPA system is impossible without a tracking system. So it's the foundation. Then a mutual understanding of the corrections, claims and waste is needed. My philosophy is to take rigorous actions in the contract and make sure that CAPA is fully understood and taken into consideration by suppliers. Trust never happens in the contract. Believe me, it's all about relationships and communication levels. I would like to meet the supplier CEO before signing the contract. If we feel friendly, we can do a lot. The family spirit should be flowing between us.

Develop a true relationship with the other party. Get to know them, their company, and their goals within the business relationship. From here, it will be easier to have a candid conversation of how things are going. You can use scorecards and tools to ensure you're tracking the right KPIs, but it's important to communicate what is being tracked and what is important to you and your organization so the other party has a fair chance to response and act appropriately. Don't wait until the end of the quarter or year to communicate that there's an issue or underperformance. Vise versa, if the other party is performing well and exceeding expectations, LET THEM KNOW! Positive reinforcement works wonders.

Sometimes looking at the bigger picture supplier overcommits the things and later on ends up in a situation where they are unable to fulfill their commitment. Which sets a bad example and the customer loses its interest. To avoid such a situation, the customer should clearly indicate its future plan and expectations. False hope can ruin a good collaboration.
