When cross functional teams, cross geo teams are involved you write to the prospect politely denoting indirectly the importance of the meeting. Example my product head from London is going to be there, my support head from India is going there, so hope you and your team will be able to join this time. If you find a prospect who has not accepted a meeting till the day before you proactively reach out to him reminding him about the meeting the next day.
