For a conference to achieve its mission and goals,it is very important to produce effective and valuable materials that would be at the interest of the participants. But due to tight budget, organisers should strategize to make sure it is within the reach of the budget. They should use digital platforms to help them save on printing. Digital brochures and presentations should be widely adopted. Also, to avoid the cost of designing, they should search for and use free designing softwares. Previous content on conferences organized should be recycled and adapted to.

Según mi experiencia, la creación de material digital de calidad puede ser relativamente fácil, con herramientas como canva. Hoy en día, la comunicación oral se hace más efectiva con este tipo de soportes y por ello, resulta imprescindible adoptarla como recurso. El reciclaje de contenido debe someterse a una actualización constante, donde nuestra creatividad y conocimiento le devuelva ese aire fresco que consiga transmitir lo que deseamos y hacer atractiva cualquier conferencia. Tan importante es el formato como el contenido y la forma cómo se transmite.

Creating the design for conference materials in house is a definite budget saver, but getting it printed so it reflects the time you took to even create it, while not very costly can seem like something not worth the expense when trying to allocate funds to other areas of the conference. If you can find a sponsor to help with the cost of printing materials, this is a benefit for you as a coordinator because most conference materials just need a little extra in the budget to be produced, i.e. brochures, reports, etc., and your sponsor gets the benefit of being front and center either on the materials, maybe being highlighted at a lunch or recognized before a session and putting their own materials out.
