Make sure folks can get to your event easily. And when they get there make sure that they have somewhere to be/sit/stand/move/participate comfortably and not on the periphery. Intention is the key - think about attending from their perspective. Ask them. Include them in the organizing.

Understanding your target audience towards their involvement and participation should be a key indicator. Because to ensure total coverage of theirs the event should be in alignment with their taste, it should capture and snatch away their peace of mind in such a way they can't let go of the event. Therefore all aspects of the community must be considered and then one basic thing is adequate mobilization should be conducted first.

For remote or hard-to-reach vehicles , ensure you have ample volunteers to guide attendees, clear signage to assist with directions, and proper seating arrangements for comfort and organization.

In a practical way, value the place and that all available accesses are adapted for all people. Also the date and weather directly impact attendance. Be determined when selecting the appropriate and marked space. Involving all participants and respecting different abilities and solving language barriers. Making the entire community feel welcome is the main objective.

A Risk Assessment carried out by your Health & Safety representative of the area!/s being used will be an indicator of accessibility. Collaboration with local groups of people with individual needs will assist in making the event/s more accessible. Also, having enough stewards who have been inducted on the participants requirements should mahe the day run smoothly. on the event. Advanced preparation is the key to success.

Greeters. The undersung lifeblood of event facilitation. Find someone who is enthusiastic about attending and give them charge to help others find their way in. A surplus of greeters allows for individual attention, you can't plan for everything but having faithful agents advocating for specific accommodations will foster an inclusive culture and allow you to target your resources to the specific needs of your attendees.
