Rationalise the demands into must have, good to have. Recalibrate the strategy to accommodate the demands. Reform the plan to accommodate without compromising. Account for some goodwill gesture to indulge / humour the client...... because client is always right! :)

Set clear expectations with clients about budget constraints and prioritise services that deliver the most value. Offer scalable solutions or package upgrades to address additional requests within budget limits. Transparent communication about costs ensures client satisfaction while maintaining quality.

Communication is pertinent, including uncomfortable discussions and decision making. I generally propose workable solutions that may accommodate the ask, including, allowing clients to feel heard/considered in the ask, negotiate with our suppliers and partners to trim costs in other places to onboard the new ask, if the ask cannot be absorbed in some way then a budget discussion is considered, including the possibility of removing something less important, if the need gets to this point. Sometimes No is also an answer. Some asks can truly be unrealistic from a financial and time bearing impact

Extra services are extra cost. Have a VIP option for those who want more. And don’t be afraid to negotiate with suppliers and venues when needed.

Start by appreciating their input. “That’s a great idea, let’s explore how we can make it work within the current scope.” This reinforces collaboration while setting boundaries. Politely remind them of the budget. “We’ve allocated the budget to deliver maximum impact within our agreed framework. Let’s evaluate options to accommodate this request.” Suggest lower-cost options to achieve the same outcome. Propose scaling back or replacing less critical elements to redirect resources.
