I would stick to good old-fashioned Agenda: - Make sure everyone got Agenda and submitted their input for it ahead of meeting - Choose a moderator of the meeting, who makes sure Agenda is followed, set time for the topics and remind speaker about their timing - Get a Whiteboard or similar to note the audience questions (two options here - clear question as they come up or stick to agenda and than get back to those questions, as your wrote these down) - Regarding the distraction - make a clear communication, who is your point of contact to let you a message, while you and other attendees are in a meeting. Remind attendees to silent their notifications, where possible.
