⚡While you are reviewing the contract with the client, you also review the Communication Plan and collaborate on what’s the best method to convey general information, two-way information, urgent matters and review meeting (demos, prototypes, feedback loops). Have the client approve and sign the communication plan when they sign the project contract. It’s best to have all these expectations outlined prior to the start of any project. Any agreed modifications of the communication plans need to also be documented and signed as well.

Drawing on my experience, I’d start by meeting with the client to understand their specific expectations and communication style. I’d then adjust our plan to better align with these preferences, ensuring our updates are timely, relevant, and clear. To maintain consistency, I’d establish a feedback loop with the client, enabling us to refine the approach as needed. By creating this flexible and responsive communication strategy, I help build trust, demonstrating our commitment to meeting their needs effectively.

When a team's communication plan doesn’t align with client expectations, adapting quickly is essential for maintaining trust and collaboration. First, I reassess and adjust our approach based on the client’s feedback, tailoring the communication strategy to better meet their needs. Increasing transparency is also key—I provide regular updates and explain our processes to ensure the client feels informed and valued. Additionally, I foster an open dialogue, inviting questions and addressing concerns promptly, which helps build rapport and ensures the client feels heard throughout the process.
