One thing I recommend to include is a resource loaded schedule and measure weekly performance based on actual installed quantities vs schedule and actual hours vs budget, this would provide a better view of project status and will predict if current productivity is “As planned”. The project team would be able to visualize and adjust, if necessary, the estimates to complete (ETCs) and identify any changes.

Include schedule but determine what Level of detail will be the standard for your project status reports. Earned value/expended/forecast curves with corresponding data tables. Include SPI/CPI/etc. Commodity curves with corresponding data tables. FTE curves. Cost reports with simple summary and forecasts. Some projects may want alll of these reports and more by discipline/area/system/etc.

Simple answer: Reports should be weekly and should be sent out AFTER internal review. Typically, we aim to validate and process data by COB Tuesday. Stale data isn't helpful to management and in an age of near-realtime data, data gets stale quickly. Wednesday internal reviews with an afternoon client review keeps the gears churning and keeps everyone alert of the broad project picture. There is also an element of timing to consider. If a project is going well It would be wise to have shorter updates weekly followed up with a detailed report once a month. However if the project is not progressing well this may need to be increased. This may also need to be changed if critical activities are ongoing.
