How can you communicate more effectively with your hospitality team to meet deadlines?

K-I-S-S. (Keep It Simple Stupid) Outdated maybe but I have found that clarity and simple goal setting can be massively effective in reducing the stress of completing projects. Rather than 'design a new successful event night', maybe the task delegated to the team would be: 1) research event nights in 3 cities of your choice 2) list the 5 most popular in each city 3) are there any overlapping concepts or themes? 4) are there any underserved in our area? Communicating in a structured approach could be considered micro-managing but simplifying the steps to an action can often focus teams in the right direction before they fly.

In my perspective, when teams are interconnected for effective communication and the task is broken down into individual levels then productivity can go high and fewer chances for errors. At that point, those errors can be easily caught and rectified as well.

One useful thing I have found is effective communication. When you clearly define the project goals to team members and ensure that they understand the expectations, it becomes easier to meet project deadlines. To enhance communication with your hospitality team, it is essential to communicate the deadlines clearly and document them in a task management system. It is also recommended to check in regularly with team members to track progress, adjust workload if necessary, and provide support and motivation. Celebrating successes is also an excellent way to keep the team motivated. Communication is critical to building a positive team culture.

Direction - what work is suppose to be done by whom is also one of the important aspect to be taken care of so to ensure the smooth functioning of tasks without wasting time.

Clear expectations, open dialogue, regular meetings, collaboration tools, and task delegation are key. Prioritizing, following up, and celebrating achievements boost productivity. Address conflicts promptly, gather feedback, and have emergency protocols in place. Training and skill development enhance capabilities for efficient work processes. These practices ensure effective teamwork, timely results, and satisfied guests.

Any process always has three stages: planning – implementation – reporting. You won't be able to skip one of them. In my opinion, the most important stage (whether it is the construction of a resort "from scratch" or meeting special guests) is planning. The more formally defined all the actions related to the task, the less time it will take to eliminate misunderstandings. The formulation of tasks and the description of the process itself should be as clear as possible, not allowing double interpretation. No "Maybe", "Probably", "We'll figure it out in the process", etc. Someone may say: "We work with humans, so it's impossible to foresee all the nuances!". Absolutely! But the best improvisation is the one that is well rehearsed in advance.

Transparency- never assuming but assuring . Double check , triple check… to ensure no confusion. When employees recognize transparency they want to contribute and are more willing to hold themselves accountable and develop greater responsibility Accountability- directive not disciplinary, a coach is a guide . A guide must build trust , trust is understanding that although I may not agree, it is for my BEST interest and result. Responsibility-only build teams committed to success …team players ALWAYS have a mindset of PERSONAL responsibility. Everyone has a part to do , if you can concentrate on yours and let go enabling others to operate in their realm , the end result is beautiful. DONT THINK YOU CAN DO IT ALL BECAUSE YOU CANT

If I were in such situation, communication is the main key. Plan things out such as a task sheet weather it is written step by step or a check off list. And if need be have short description of expectations

Context is also equally important so to avoid confusion and concerns. Communication is done based on what context is what employees are to be aware of.

Utilize project management software, messaging apps, and shared calendars for task management and quick updates. Video conferencing and in-person meetings foster collaboration. Internal communication systems and CRM software aid in guest service and feedback. Guest messaging platforms and custom mobile apps improve guest interactions. The choice of tools should align with team needs and hotel size, ultimately ensuring efficient internal communication and exceptional guest service.

The art of actively listening reigns supreme for me in hospitality. It's a quick-paced environment and often loud. Understanding a guest's needs or a colleague's concerns begins with attentive listening. Maintain eye contact, nod to show comprehension, and reiterate their points to confirm understanding. This not only fosters rapport but also ensures accurate comprehension of requests, leading to swift and satisfactory solutions. Reiteration of requests as a standard has been crucial for the smooth operation of my team.

Providing regular feedback and recognition is essential in maintaining a motivated and efficient hospitality team. Regular feedback sessions allow for open communication, addressing concerns, and improving performance. Recognizing and celebrating team achievements boosts morale and motivation. This positive work environment encourages collaboration and helps meet deadlines while ensuring top-notch service for guests.

I believe effective communication is a two-way street. When we actively listen to concerns, embrace the diversity of ideas from others, receiving feedback from my team, is an opening to adjusting the approach, if needed. Open communication is a means to create a more unified, productive and efficient work environment supporting, connecting, leading from the bottom up, successfully meeting deadlines. Empathy and a smile go a long way. Always put yourself in a colleague's shoes when giving feedback or making requests. How would I feel if I was asked this of me in that tone??

I believe that a lot depends on the boss. If he sets a good working tone, then the team will work smoothly. And vice versa. I realized this simple technique when, as a student, I worked at The Sagamore Resort, NY. The manager of the housekeeping department Robin Diaz always arrived at work 15 minutes ahead. In the staff room, she set the table with donuts or buns, which she baked at home or bought on the way. Any employee of her department could have morning coffee or tea with "Robin pastry". During the morning staff meeting, she usually said: "I want you all to start this crazy day in a good mood." It was almost 20 years ago, but I still remember those vibes, which means it makes sense!
