There is a lot of best practice and common-sense advice out there about how to contract, how to monitor, measure, manage service quality, etc. The problem with contracts and contract management theory is that much of it is based on a static playing field and does not consider changing conditions on the ground. Again, you have to be proactive in your analysis and feedback to ensure they are adding value. Realistically this is your time to collaborate with them and build a relationship; you can hold someone accountable and make them feel like you are creating this great relationship.

Never be afraid to tell you vendors that you are looking at other options, just because they have worked with you for years does not mean you cant ask others what they would charge for the same services and assess any savings are worth the disruption. As soon as they know that your business is not guaranteed, they will make sure they either justify why they are better than their competition or try to give you good prices. At the same time, a good relationship is important and its worth paying a little more to avoid bad service always!

In my experience you should always have a Plan B and a Plan C in regard to vendor management. If one vendor is giving you problems, ask for another representative or move on to a new vendor. Involve a VAR if necessary to handle negotiations on your behalf and free up time for you to be doing other tasks for the organization. Obviously it’s important to nurture the relationship and try and work through problems but it’s also important to know when to cut ties amicably.

While the goal is to get everyone on the same page sometimes things happen, so it's very important to keep the discussion open and mental stress off :)

Assess whether it is feasible and beneficial to terminate or phase out the relationship with the vendor. Have contingency plans in place to transition services smoothly if needed.
